Job summary

P&E Constructors, LLC is seeking a Material Coordinator to support the Warehouse Manager in coordinating daily warehouse functions, material control activities, documentation, and inventory tracking on industrial construction projects. The role emphasizes accuracy, safety, and compliance across receiving, issuing, and reporting processes.

The position requires 2–4 years of warehouse coordination experience, strong communication, and proficiency with Procore, COINS, OCTAVE, and ERP systems.

Qualifications

  • High School Diploma or equivalent required.
  • 2–4 years of experience in warehouse coordination, materials support, construction logistics, or industrial project support.
  • Ability to support warehouse leadership through accurate records, organized follow-up, clear communication, and dependable task completion.
  • Working knowledge of receiving, issuing, inventory control, OS&D tracking, material documentation, and warehouse safety practices.
  • Proficiency with Microsoft Office Suite, including Excel, Teams, Outlook, and SharePoint.
  • Experience supporting industrial construction projects such as power, petrochemical, manufacturing, data center, or fabrication work.
  • Experience with Procore, COINS, OCTAVE, barcode scanning, ERP systems, or similar material tracking platforms.
  • Knowledge of OSHA expectations, warehouse safety controls, and project documentation requirements.

Responsibilities

  • Assist the Warehouse Manager with daily coordination of warehouse priorities, material flow, documentation needs, and communication with project stakeholders.
  • Track open items assigned by the Warehouse Manager and follow up on receiving issues, material requests, inventory questions, vendor discrepancies, and documentation requirements.
  • Prepare status updates, logs, and reports that help the Warehouse Manager monitor warehouse performance, material readiness, and compliance concerns.
  • Support coordination of warehouse staffing needs, work sequencing, and task visibility without assuming management authority unless directed.
  • Support daily warehouse activities including receiving, issuing, quality documentation, inventory control, space organization, and logistics coordination.
  • Organize warehouse workflows and communicate priorities established by the Warehouse Manager to the appropriate personnel.
  • Assist with equipment, tool, and material status tracking and coordinate maintenance or service requests through the Warehouse Manager when needed.
  • Support warehouse organization, labeling, housekeeping, storage discipline, and material segregation practices.
  • Maintain and update inventory records in COINS or approved tracking tools as directed by the Warehouse Manager.
  • Assist with cycle counts, inventory reconciliations, barcode tracking, material status updates, and discrepancy research.
  • Process and track material requests, approvals, receiving documents, and issuing records through Procore and other approved systems.
  • Support OS&D tracking by documenting overages, shortages, damages, vendor issues, and corrective follow-up needed for resolution.
  • Prepare draft reports on inventory levels, material movement, open requests, usage, and warehouse activity for Warehouse Manager review.
  • Assist with inbound and outbound shipment coordination, gate processes, delivery scheduling, staging priorities, and carrier communication.
  • Coordinate with project leads, procurement, vendors, and field supervision to help align material availability with construction schedules.
  • Support mobilization and demobilization activities by tracking materials, rental equipment, tools, trailers, containers, and warehouse close-out needs.
  • Communicate material constraints, late deliveries, documentation gaps, and priority issues to the Warehouse Manager for direction and escalation.
  • Support enforcement of warehouse safety standards, site procedures, PPE requirements, housekeeping expectations, and company policies.
  • Assist with safety documentation, inspection follow-up, training records, and communication of hazards or noncompliance to the Warehouse Manager
  • Confirm that warehouse activities are documented and performed in alignment with project safety, quality, and material control requirements
