Job summary

SurgeU is seeking a Travel & Logistics Administrator to provide essential support to the logistics team. The role involves scheduling, document management, expense tracking, and coordinating with accounting.

The ideal candidate is highly organized, detail-oriented, and capable of multitasking in a fast-paced, in-person environment. Reporting to the Logistics Manager, you will help manage hotel bookings, travel arrangements, and logistics coordination for events and staff.

Qualifications

  • Minimum high school diploma; degree in logistics, business administration, or related field is a plus.
  • Proven experience in administrative or support roles.
  • Strong attention to detail and ability to manage multiple tasks simultaneously.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficient with Microsoft Office (Excel, Word, Outlook).
  • Ability to work independently and collaboratively within a team.

Responsibilities

  • Provide day-to-day administrative support to the logistics department.
  • Assist logistics coordinators with scheduling, tracking, and maintaining logistics schedules and shipments.
  • Manage and organize logistics-related documents with accuracy.
  • Handle calls and emails related to logistics operations.
  • Maintain records in logistics management systems and reconcile invoices and receipts.
  • Coordinate with accounting to ensure timely processing of receipts and payments.
  • Track expenses in Excel and Notion.

We are seeking a highly organized and detail-oriented Travel & Logistics Administrator to join our team. This individual will play a crucial role in supporting the logistics department by managing administrative tasks, reconciling receipts, booking travel and providing support to logistics coordinators and other department members. The Travel & Logistics Administrator will also be responsible for assisting with any other tasks as assigned by the Logistics Director. The ideal candidate will have excellent communication skills, the ability to multitask, and a proactive approach to problem-solving.

Responsibilities:
  • Provide day-to-day administrative support to the logistics department.
  • Assist logistics coordinators with scheduling, tracking, and maintaining logistics schedules and shipments.
  • Manage and organize logistics-related documents, ensuring accuracy and timely completion.
  • Answer phone calls, emails, and other communications related to logistics operations.
  • Maintain and update records in logistics management systems.
  • Ensure accuracy of receipts from vendors, suppliers, and partners.
  • Perform reconciliation of invoices, purchase orders, and shipment receipts.
  • Investigate and resolve discrepancies between receipts and invoices.
  • Coordinate with accounting and finance departments to ensure timely processing of receipts and payments.
  • Track expenses in excel and Notion and expense sheets
  • Provide logistical assistance to the logistics coordinators and department staff as needed.
  • Coordinate with our 3rd party booking platform to research, best options for hotels
  • Manage room night booking for corporate office staff traveling to events.
  • Supporting the Event & Talent team with hotel bookings.
  • Assist the Travel & Logistics Director with special projects and random tasks as deemed necessary.
  • Take on additional responsibilities or assignments based on departmental needs and priorities.
  • Collaborate with various teams and departments to ensure smooth operations and continuous improvement in logistics processes.
Qualifications:
  • High School Diploma or equivalent; a degree in logistics, business administration, or a related field is a plus.
  • Proven experience in an administrative or support role.
  • Strong attention to detail and ability to manage multiple tasks simultaneously.
  • Excellent organizational and time-management skills.
  • Strong communication skills (written and verbal).
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • Ability to work independently and collaborate effectively within a team environment.
  • Strong negotiation skills in sales
Preferred Qualifications:
  • Knowledge of Notion Project Management Software and/or Asana
  • Experience Booking Hotel room nights, ballroom spaces, events
  • 3 plus years of experience in coordinating events
  • Health, Dental, Vision, Life, Holiday, and Paid Time Off.
