Job summary

Saul Ewing LLP is seeking a project assistant to support its immigration practice group. The role provides administrative support, including document editing, intake forms, time entry, calendar maintenance, and meeting coordination.

You will assist with filings, client communications, and interaction with USCIS and government inquiries, alongside paralegals and attorneys. The position requires a high school diploma, 1 year immigration admin experience, bilingual English/Spanish, and proficiency

Qualifications

  • High School diploma or GED required.
  • Minimum 1 year of administrative immigration experience.
  • Familiarity with legal documents and immigration terminology.
  • Bilingual in English and Spanish (speaking/writing) required.
  • Proficiency in Microsoft Office Suite; LLX a plus.

Responsibilities

  • Maintain process checklists and questionnaires.
  • Ensure documents saved to iManage for active cases.
  • Filing and handling government inquiries with USCIS.
  • Communicate with USCIS for stamps, travel documents, or expedite requests.
  • Add reminders to LLX and submit Ombudsman inquiries.
  • Prepare and send secure documents to clients.
  • Track shipments and confirm deliveries; summarize to attorneys.
  • Assist paralegals with form completion and case work.
  • Review filings for quality and coordinate with OFS.
  • Translate short documents from Spanish to English.

Job description

Saul Ewing is seeking a talented project assistant to assists its immigration practice group. The Project Assistant is a member of a practice support team and provides administrative support to practice group team members. Duties include assisting with creating and editing documents, filing, completing client/matter intake forms, submitting expenses, entering time, answering incoming calls, coordinating meetings, managing attorney’s contacts, and maintaining calendars.

Essential Functions & Responsibilities
  • Maintain process checklists and questionnaire
  • Verifying that all documents save on external drive(s) are added to iManage for cases working on
  • Filing simple and complex inquiries with government and USCIS as needed (i.e. processing times, change of address, rescheduling appointments, fixing major USCIS errors) involving either phone calls with high level officers or simple online inquiries
  • Contact USCIS for clients to obtain ADIT stamps, emergency travel documents, or emergency expedite requests on their pending applications.
  • Adding reminders to LLX from inquires of government agencies or USCIS, if any
  • Submit Ombudsman inquires (for the entire department)
  • Adding reminders to LLX on submitted Ombudsman
  • Sending documents secure mail to clients
  • Tracking all cases filed with UPS/FEDEX (ensuring delivery) emailing confirmation page to attorneys/paralegals (paralegal to forward to client)
  • Catalog files in storage for immigration department
  • Available for assistance on projects as needed
  • Maintain public access files for H1B cases, when needed
  • Assisting paralegals with the completion of forms and case
  • Work on assigned cases directly with the assigned attorney (billing time as needed)
  • Review filings printed from other offices (DC and Chicago) for quality and give to OFS for final scan and attorney review.
  • Update LLX case summary or entering case notes on cases working on
  • Verifying that all documents save on external drive(s) are added to iManage for cases working on
  • Covers practice assistant when they are out and with overflow work
  • Translation of short documents from Spanish to English
Education & Experience
  • High School diploma or GED
  • Minimum of 1 year working within an administrative immigration position
  • Familiarity with legal documents and immigration terminology
  • Bilingual in English and Spanish required (speaking/writing)
  • Proficiency in Microsoft Office Suite
  • Familiarity with LawLogics (LLX) program a plus

  • Strong ability to communicate clearly and concisely, with tact and professionalism, in every medium of communication (in person, telephone, e-mail)

Compensation

The pay for this position will be determined based on relevant skills, experience, education, external market data, internal equity, and other job-related factors. The anticipated range for this role is $50,000 - $60,000 annually
