Location: Remote within US
Contract: 12 Month
Pay: $30-34/hour (DOE)

We are seeking a highly organized and detail-oriented Immigration Coordinator to join our Immigration & Global Mobility team. In this role, you'll help manage U.S. and global immigration cases, ensuring timely filings, smooth case progression, and accurate compliance records. This is a hands-on administrative role ideal for someone who thrives in a fast-paced, high-volume environment and is familiar with immigration processes and vendor coordination.

Responsibilities

  • Case Management: Support the end-to-end lifecycle of U.S. and global immigration cases, including case initiation, tracking, and timely filing.
  • SLA Oversight: Track immigration vendor performance against service level expectations and escalate issues to the Immigration Program Manager as needed to ensure accountability and timely execution.
  • Follow-ups: Proactively follow up with immigration vendors and employees to ensure action items are completed on time.
  • Inbox Management: Triage and assign items in the team's shared inbox; apply appropriate tags and escalate where needed.
  • Recordkeeping & Compliance: Maintain immigration trackers and documentation, including Public Access Files (PAFs) and LCA postings, and batch LCA postings.
  • Employee & Partner Support: Respond to simple routine queries from employees, recruiters, and cross-functional teams (e.g., case status or hiring timelines).
  • Data Management: Extract and validate key data from HR systems (e.g., Workday, offer letters, ATS).
  • Process Coordination: Assist with LCA batch filings, PERM processes, and regular NIV cases.
  • Vendor Collaboration: Partner with the immigration vendor and internal program managers to streamline processes and improve case outcomes.
  • Administrative Support: Assist with tasks such as collecting signatures for internal support letters, distributing paper notices, posting LCAs, maintaining both paper and electronic immigration records, conducting timely audits, scheduling calls, and providing general support to the team as needed.
  • Willingness to travel to our San Francisco HQ for the first week of onboarding, and for 3 days every two months thereafter.

Qualifications

  • 6+ years of immigration coordination or related experience; exposure to both U.S. and global immigration strongly preferred
  • Strong understanding of common visa types: e.g., H-1B, O-1, E-3, J-1, Skilled Worker (UK), Employment Pass (Singapore), and associated filings: Change of Status vs. Change of Employer
  • Familiarity with LCA processes, PERM workflows, and general immigration compliance
  • Experience managing immigration case management systems and workflows
  • Strong attention to detail with a demonstrated ability to navigate HRIS systems and interpret offer letters
  • Comfortable working with confidential information in a high-volume, fast-paced environment
  • Ability to work independently with minimal oversight
