Job Overview

We are looking for an experienced Imaging System Scheduling Coordinator II to join our Interventional Imaging team!

Schedule: This position will be working 0.7 FTE (56 hours every two weeks). The shift length will be 8 hours primarily on the day shift.

Location: Conveniently located on the East Bank of the Mississippi River near downtown Minneapolis.

The Imaging Service Scheduler II is responsible for serving customers, providers, and clinical teams in facilitating access to system-wide imaging services at the direction of the care provider. The Imaging Service Scheduler II coordinates the flow and exchange of information related to customer care activities across multiple departments and facilities, performing scheduling coordination and other administrative functions to ensure high-quality imaging services are accurately delivered.

Job Expectations:
  • Professionally performs imaging scheduling functions via phone and computer, accurately supporting orders from providers.
  • Effectively manages multiple telephone lines, providing timely and accurate support to meet customer needs and performance standards.
  • Communicates professionally with patients and staff, both on the phone and in person, providing a secure and safe environment.
  • Utilizes high-end imaging decision and authorization support tools accurately.
  • Provides complex care coordination scheduling for multiple modalities, providers, and locations, accurately documenting within all information systems.
  • Uses critical thinking and judgment skills to resolve complex situations.
  • Navigates and translates complex service protocol tools to ensure appropriate services are delivered.
  • Identifies solutions proactively for issues that hinder service delivery, collaborating with necessary parties for resolution.
  • Provides exam preparation, travel, parking, and appointment documents proactively and timely.
  • Maintains knowledge of multiple specialty services and imaging disciplines.
  • Mentors, educates, and orients team members actively.
  • Identifies and/or designs service and quality improvement initiatives.
  • Supports a culture of teamwork and collaboration proactively.
  • Participates in problem solving and team meetings.
  • Takes ownership of personal career and professional development, collaborating with peers and leadership.
Specific Job Duties:
  • Coordinates scheduling for all complex imaging procedures across multiple organizations and facilities within the system.
  • Maintains a professional, welcoming, supportive, and calm demeanor during all interactions.
  • Leverages expertise to resolve customer and provider issues, priorities, and service recovery situations.
  • Manages scheduling templates, processes, and procedures based on comprehensive knowledge of modalities and locations.
  • Proficiently uses electronic health records, diagnostic systems, and other IT platforms to support decision-making and communication.
  • Uses critical thinking to educate customers in preparation for services based on patient history and provider orders.
  • Coordinates scheduling of multidisciplinary resources including anesthesia, surgery, PACU, pathology, nursing, technicians, and care coordinators.
  • Demonstrates excellent written and verbal communication skills, effectively conveying key information.
  • Executes care coordination procedures specific to complex procedures accurately.
Minimum Requirements:
  • High School Diploma or GED
  • 2 to 5 years of complex clinical scheduling experience
Preferred Qualifications:
  • Associates Degree
  • 5 to 7 years of experience supporting complex services in a healthcare setting
