Job summary

University of California, Irvine is seeking an Education Program Administrator to support professional health education learners, coordinate curriculum, maintain databases, and ensure learner compliance. The role also handles scheduling and accreditation activities within the Department of Medicine.

Your Role on the Team

Applies acquired skills, process, and policy knowledge to support professional health education program learners. Coordinates program operations, which include teaching and learning activities, program curriculum, learner scheduling, maintaining databases, tracking learner compliance, and program accreditation.

What It Takes to be Successful

Required:

  • Basic knowledge of relevant policies and regulatory requirements. Basic knowledge of health professions education industry.
  • Basic knowledge of administrative analysis and operations research. Acquiring skills in developing and implementing processes and systems. Familiarity with the administrative and operational implications in a program.
  • Communication skills; includes verbal, written and active listening. Service oriented and responsive to questions and requests. Ability to interact in a professional, resourceful, and courteous manner.
  • Demonstrated interpersonal skills. Demonstrated ability to develop working relationships within department and with learners.
  • Excellent organizational skills, analytical, and demonstrated attention to detail. Ability to work with extremely complex faculty calendars / schedules requires extremely well organized and detail oriented precision.
  • Investigative, data analysis, and reporting skills. Ability to generate computer reports, checking for errors, correcting and submitting accurate reports. Skills include entering, maintaining, extracting, and analyzing data in electronic systems.
  • Highly proficient in Microsoft Office Suite, including Outlook, Word, and Excel, with extensive experience using Adobe, Zoom, and DocuSign to support document management, professional communication, virtual meetings, and electronic signature processes.
  • Bachelor's degree in related area and / or equivalent experience / training
  • A minimum of 3 years of experience.

Preferred:

  • Demonstrated knowledge of School of Medicine, UCI campus and general UC accounting, purchasing, travel, and payroll policies and procedures.
  • Working knowledge of MedHub, NRMP, ACGME and other residency management platforms.
  • Ability to adapt to ACGME and ABIM changes and initiate/ execute solutions to meet new requirements.
  • Knowledge of GME and VA billing process for FTEs.
  • Knowledge of educational technology and systems. Ability to troubleshoot and triages related technology issues.

Special Conditions:

  • Travel may be required to support operational and programmatic needs, including participation in meetings, conferences, training sessions, and professional development activities.
  • Occasional work outside of regular business hours may be required to support program needs, special events, meetings, and other operational activities.
