Qualifications

• Experience in automotive operations, vehicle inventory, dealership administration, fleet operations, data administration, or a related operational support function.
• Proficiency with Microsoft 365, including Excel, Outlook, and Teams.
• Ability to work independently, manage competing priorities, and maintain accurate documentation.
• Strong written and verbal communication skills.

Responsibilities

• Maintain accurate vehicle inventory data by reviewing vehicle details, mileage, location, ownership, status, acquisition information, conversion details, and availability.
• Investigate inventory discrepancies and coordinate with teams to correct records.
• Monitor vehicle movement from ordering to receipt, transfer, and in-stock status.
• Support physical inventory reconciliation and resolve differences between location and systems.
• Monitor holds and inventory exceptions, escalating issues as needed.
• Ensure vehicles are accurately represented for sale by identifying missing data.
• Set up records for purchased, traded, rental, or acquired vehicles and coordinate missing information.
• Manage user access for vehicle and inventory systems; set up and deactivate accounts.
• Serve as a resource for questions related to inventory records and processes.
• Partner with Vehicle Intake, Appraisals, Accounting, IT, Sales, Rental, Commercial, and store operations to resolve issues.
• Document recurring discrepancies and process gaps; contribute to source-level improvements.
• Identify opportunities to simplify, standardize, or automate manual processes.
