Job summary

The Congressional Hispanic Caucus Institute (CHCI) seeks a highly organized Strategic Events Associate to support planning and execution of national events, elevating CHCI’s presence. The role handles budgets, timelines, vendors, sponsors, and on-site operations for diverse gatherings from conferences to galas.

Ideal candidates are detail-oriented, collaborative, and customer-service driven with 1–3 years’ experience in event planning, hospitality, or related nonprofit work, and strong MS

Qualifications

• 1–3 years of professional experience in event planning or related fields.
• Strong organizational skills with attention to detail and ability to manage multiple projects.
• Excellent written and verbal communication skills.
• Ability to remain calm, flexible, and solutions-oriented in fast-paced environments.

Responsibilities

• Support end-to-end planning and execution of CHCI events (conferences, galas, receptions, briefings, board meetings).
• Coordinate logistics including venues, vendors, catering, AV, travel, registration, signage, shipping, staffing, and on-site operations.
• Support data tracking, reporting, and sponsor fulfillment for partnership engagement.
• Manage event materials, inventories, registration platforms, event websites, and attendee communications.
• Develop timelines, production schedules, dashboards, and briefing materials.
• Collect registration and post-event data for analysis and continuous improvement.
