Job summary

Muon Space in San Jose, CA is seeking a Recruiting Coordinator to join our Talent Acquisition team. You’ll manage interview logistics, coordinate schedules across time zones, and be the primary contact for candidates, ensuring a smooth, engaging candidate experience.

This hybrid role requires on-site attendance 3–4 days a week in San Jose with occasional travel to Mountain View. You’ll partner with recruiters and hiring managers, maintain Greenhouse records, and help optimize recruiting

Qualifications

• 1+ year in recruiting coordination or similar in a fast-paced tech setting.
• Strong attention to detail and organizational skills.
• Excellent verbal and written communication.
• Ability to manage multiple priorities with a team-oriented attitude.
• Experience coordinating interview schedules across time zones and seniority levels.

Responsibilities

• Coordinate and schedule interviews across time zones, including virtual and on-site meetings
• Serve as the primary point of contact for candidates, ensuring timely and clear communication throughout the interview process
• Maintain our applicant tracking system (Greenhouse), including accurate candidate records, job descriptions, interview plans and postings
• Partner with recruiters and hiring managers to drive an efficient, organized hiring process
• Manage interview logistics such as booking rooms, setting up video links, and handling travel arrangements when applicable
• Greet and support candidates during on-site interviews, ensuring a welcoming and professional experience
• Support broader recruiting efforts including headcount tracking, reporting, and sourcing
• Help coordinate recruiting events and internal sourcing jams
• Identify opportunities for process improvements that enhance candidate experience and team operations
