The Department of Ophthalmology at West Virginia University is currently accepting applications for a (Hybrid) Program Coordinator.

The program coordinator will assist the vision teachers and program director with day-to-day tasks associated.

What You'll Do
- Assist in managing daily operations of the projects, programs, or office to which assigned.
- Travel to and from clinics around the state may be required.
- Establish and maintain a recordkeeping system for programs, projects, or office to which assigned and enter data into records or into system databases as appropriate and as needed.
- Plan and develop methods and procedures for implementing projects.
- Establish and maintain productive relationships with state, federal, and private agencies as appropriate and as directed.
- Coordinate events or conferences, from planning and advertising, to contracting for services from vendors to registration and event completion. Initiate contractual agreements between WVU and outside agents for supervisor's review and signature. Arrange meeting facilities, setup requirements, and billing of revenue lines.
- Coordinate with faculty any support services that will be provided by the program(s) as needed for assigned events or activities.
- Answer phones and greet visitors to office or location.
- Produce and prepare advertising promotional materials such as letters, flyers, schedules, brochures.
- Assist in developing and monitoring annual project or program budget with supervisor.
- Maintain records regarding accounts receivable and submit reports as required. Ensure accounting procedures are followed and deposits are accurately processed.
- Handle administrative problems and inquiries, coordinate communications and activities within the office.
- Create reports to retrieve program/project information from system; perform initial analysis and make recommendations to supervisor.
- Assist in preparation for financial reports and cost studies as directed for analysis.
- Audit accounts for compliance, resolve issues with supervisor, and monitor revenues and expenses.
- Attend on- and off-campus meetings/clinics as requested and report on issues of importance.
- Assist in maintaining department web pages.
- Use Procurement Card and Oracle for purchasing office supplies, catering, equipment, etc., and evaluate/recommend purchases.
- Perform related duties as assigned or directed.
Pay Grade: 15
Qualifications
- Bachelor's degree in a related field.
- Minimum of two (2) years of experience involving:
- Increasingly responsible experience in an administrative capacity.
- Equivalent combination of related education and/or experience will be considered.
- All qualifications must be met by the time of employment.
Knowledge, Skills and Abilities
- Thorough knowledge of office methods, procedures, protocol, and correct English language usage.
- Good knowledge of, or ability to quickly learn, policies, procedures, and regulations governing budget issues.
- Knowledge of fiscal record keeping principles and practices.
- Strong interpersonal skills and professional demeanor.
- Ability to establish and maintain cooperative relationships at all organizational levels.
- Good judgment, discretion, and initiative in performing complex administrative tasks.
- Ability to coordinate and prioritize multiple tasks, set deadlines, and complete projects timely.
- Proven typing speed and accuracy.
- Proficiency with computer software including word processing, databases, and web design.
- Ability to organize and cross-reference files efficiently.
- Logical reasoning and problem-solving skills.
- Ability to quickly learn university operations and work environment.
- Maintain confidentiality of sensitive information.
- Ability to work independently.
