Job summary

Haymarket Studio is seeking a Custom Production Coordinator in New York, NY. The role focuses on coordinating custom activations for Haymarket’s titles, with a hybrid work schedule (three days in office).

You will manage POs, liaise with vendors, collect assets, and coordinate podcast and event production from kickoff to post-launch delivery. The ideal candidate is a problem-solving, organized communicator with 2+ years in a B2B environment, strong Excel/Google Suite skills, and familiarity with

Qualifications

• Minimum of 2 years experience, ideally 5+, preferably in a B2B environment.
• Bachelor's degree in a related field.
• A working knowledge of the Adobe Suite (primarily Premier) is a plus.
• Proficiency in Excel, Google Suite and Microsoft Office products. Familiarity with Salesforce, a plus.
• Keen organization and attention to detail; ability to multi-task and juggle many projects at once; being proactive.
• Professional courtesy, respect for colleagues and clients, a go-getter attitude.

Responsibilities

• Create Purchase Orders (POs) for vendors, venues and freelancers hired for events and activations.
• Coordinate with vendors/freelancers and ensure invoices reach Accounts Payable.
• Submit custom art requests for signage, landing pages and materials.
• Keep finance updated with hard costs for activations and maintain program trackers.
• Record activations on the master tracker/calendar with contracts and details; update bi-weekly.
• Assist with organizing select activations and report outcomes/risks to management.
• Create and maintain program documents, timelines and SOPs, including POs for vendors.
