New England Mechanical Services, Inc. is seeking a highly organized Customer Service-Contract Administrator to join our on-site team at the South Windsor headquarters. The role links Sales, Operations, and Leadership to ensure the administration and execution of HVAC service agreements.

You will review contracts, maintain records, and ensure compliance with contractual requirements, directly impacting customer satisfaction and revenue growth.

Qualifications

• Associate degree required.
• Minimum of 5 years of progressively responsible administrative experience.
• Advanced proficiency with Microsoft Office Suite.

Responsibilities

• Serve as the primary administrative support resource for HVAC service agreements and contract-related activities.
• Review, validate, and process new service agreements, ensuring accuracy and completeness.
• Enter and maintain contract information within our ERP system and Microsoft Dynamics platform.
• Partner with Sales, Operations, VP, and Branch Managers to support contract execution and objectives.
• Track agreement sales, renewals, amendments, and customer-specific requirements.
• Maintain records of contractual obligations and customer documentation.
• Manage purchase orders and ensure supporting documentation is filed.
• Monitor contract changes and renewals while maintaining data integrity.
• Communicate with customers and internal stakeholders to resolve discrepancies and ensure seamless experience.
• Support continuous process improvement and operational excellence.
