Job summary

CoolSys, a nationwide leader in refrigeration, air conditioning, heating, and energy management, is seeking a Warehouse Coordinator to oversee receipt, storage and dispatch of goods across our operations. The role supports field teams by ensuring accurate inventory, timely deliveries, and strong safety practices.

You will handle purchasing, tool and fleet records, and collaborate with foremen to optimize workflows.

Qualifications

• Associates degree or equivalent experience.
• Minimum 3 years of warehouse experience.
• Minimum 2 years hands-on experience with HVAC and/or Refrigeration concepts.
• Forklift operating experience/certification preferred.

Responsibilities

• Receive, store and dispatch a wide range of goods including materials, tools, machinery, and uniforms.
• Maintain health, safety, hygiene and security standards in the warehouse.
• Manage purchasing activities: locate vendors, process requisitions and purchase orders.
• Maintain inventory records and ensure timely delivery to job sites.
• Update and maintain tool inventory and conduct transfers.
• Collaborate with foremen and teams to meet project schedules.

Responsibilities

A Warehouse Coordinator is responsible for the efficient receipt, storage and dispatch of a wide range of goods including, but not limited to, materials, tools, machinery, and uniforms.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

FACILITY & SAFETY

• Maintains standards of health, safety, hygiene and security in the work environment.
• Maintains housekeeping of warehouse.
• Ensures the workplace health and safety requirements are met, take responsibility for the security of the building and stock, and runs shift with safety and efficiency as priorities.

PURCHASING

• Ensures quality, delivery budget and environmental objectives are met.
• Responds to field communication, locate vendors of materials, equipment or supplies, and interview them in order to determine product availability and terms of sales.
• Administers on-line purchasing systems.
• Prepares and process requisitions and purchase orders for supplies and equipment.

TOOLS, FLEET & INVENTORY

• Maintains records of goods ordered and received, log all rentals into the rental log and follow up with foreman on status.
• Manages stock control, receipt, storage, retrieval and timely delivery of goods; shipment loading and transferring; document recording and data entry into system.
• Issues inventory report, in/out status report, dead stock report, goods age report, and consumption report.
• Returns all materials not required on a project or that were delivered incorrectly.
• Responsible for tool inventory and control: Tool transfers log in/out form, clean up, maintenance and repair of tools
• Updates and maintains inventory tool list, delivery of tools to the jobsite.
• Perform other duties as assigned

• Solid working knowledge of use of the Microsoft suite of applications (Word, Excel, etc.)
