Position Overview

We are seeking an experienced HVAC Quick Quote Estimator to prepare fast, accurate, and competitive estimates for commercial and residential HVAC system replacements, repairs, and related mechanical projects. This position is ideal for someone with hands-on HVAC or mechanical construction experience who can quickly assess project requirements, develop accurate pricing, and support the sales team with timely proposals.

The successful candidate will have a strong understanding of HVAC systems, mechanical construction, and estimating fundamentals, along with the ability to manage a high volume of quote requests in a fast-paced environment.

Core Responsibilities

• Rapid Quote Development: Prepare accurate HVAC estimates and pricing within tight turnaround times while maintaining a high level of detail and accuracy.
• Scope Assessment: Review building dimensions, equipment photos, existing system information, and basic site details to determine equipment and project requirements.
• Standardized Takeoffs: Utilize established pricing structures, estimating tools, software, pricing matrices, and equipment databases to develop quotes efficiently.
• Project Review: Evaluate equipment, labor, materials, sheet metal, and other mechanical requirements necessary to complete the proposed work.
• Customer & Contractor Communication: Communicate professionally with customers, contractors, and internal sales teams to clarify project scope, specifications, and pricing requirements.
• Lead Management: Monitor and respond to inbound quote requests received through websites, digital platforms, phone inquiries, and other sources.
• Sales Support: Prepare and deliver finalized quotes to sales representatives or comfort advisors for customer follow-up and closing.
• Quote Tracking: Maintain organized records of active estimates, follow-ups, revisions, and completed proposals.
• Accuracy & Quality Control: Review estimates for completeness, pricing accuracy, and alignment with project scope before submission.

Required Skills & Qualifications

• HVAC Experience: 2–5+ years of experience in HVAC installation, service, estimating, construction, or a related mechanical field.
• HVAC Knowledge: Strong understanding of commercial and residential HVAC systems, including:
  • Split systems
  • Mini-splits
  • Heat pumps
  • Chillers
  • Boilers
  • Cooling towers
  • Refrigeration systems
  • Hydronic systems
• Mechanical Knowledge: Working knowledge of HVAC installation practices, sheet metal, mechanical systems, and applicable mechanical codes.
• Estimating Ability: Strong mathematical and analytical skills with the ability to interpret project information and develop accurate pricing.
• Speed & Accuracy: Ability to work efficiently under tight deadlines without sacrificing quality or attention to detail.
• Customer Service: Professional phone and email communication skills with the ability to clearly explain project requirements and pricing.
• Organization: Ability to manage a high volume of quote requests and multiple projects simultaneously while meeting deadlines.
• Technology Skills: Comfortable learning and utilizing estimating software, HVAC pricing platforms, CRM systems, and Microsoft Office applications.
