The role requires knowledge of HVAC parts, strong organizational skills, and effective communication with technicians, vendors, and manufacturers. This position focuses on accurate parts ordering and timely delivery to keep warranty work on schedule.

Qualifications

• High School Diploma or equivalent.
• Strong HVAC parts knowledge and terminology.
• Experience with HVAC parts ordering, procurement or warranty processing is preferred.
• Ability to use part numbers, models and catalogs to locate parts.

Baker Brothers Plumbing, Air & Electric is seeking a dependable, detail-oriented HVAC Purchasing Agent to support our HVAC warranty service team by managing the ordering and procurement of parts needed for warranty repairs and replacements. The ideal candidate has a strong knowledge of HVAC parts and equipment, excellent organizational skills, and the ability to communicate effectively with technicians, vendors, and manufacturers.

This role is essential to ensuring the correct parts are ordered accurately and efficiently so our technicians can complete warranty work and provide excellent customer service.

Responsibilities

What Will I Do?

• Identify and order HVAC parts and components needed for warranty repairs and replacements.
• Use knowledge of HVAC systems, equipment, and components to ensure the correct parts are ordered.
• Verify model numbers, serial numbers, part numbers, and warranty eligibility before placing orders.
• Coordinate with HVAC technicians, manufacturers, distributors, and vendors to obtain the necessary parts.
• Track orders, monitor shipping and delivery dates, and follow up on delayed or backordered items.
• Process warranty-related parts requests, returns, exchanges, and claims as needed.
• Maintain accurate records of parts orders, warranty documentation, and order statuses.
• Communicate order updates and delivery information to technicians and appropriate team members.
• Research part availability and identify suitable replacements when original parts are unavailable.
• Maintain an organized system for tracking outstanding orders and warranty parts.
• Follow company policies and procedures while providing timely, professional support to the HVAC department.

Qualifications

Do I Have What It Takes?

• High School Diploma or equivalent
• Working knowledge of HVAC parts, components, equipment, and terminology is required.
• Previous experience with HVAC parts ordering, procurement, warranty processing, or HVAC service operations is strongly preferred.
• Ability to identify HVAC parts using model numbers, serial numbers, parts catalogs, and manufacturer resources.
• Strong attention to detail and accuracy when entering and tracking orders.
• Excellent organizational, communication, and follow-up skills.
• Ability to manage multiple orders and priorities in a fast-paced environment.
• Basic computer skills and the ability to learn company software and inventory or purchasing systems.
• Must be able to pass a pre-employment drug screen and background check, consistent with applicable law and company policy.
• Must have a clean driving record and more than three years of driving experience.
• Must possess a valid driver's license.
