This mid-level position requires strong organizational skills and the ability to wear multiple hats as the team grows.

Qualifications

• Experience in HVAC distribution, supply, or related industry.
• Background in parts, customer service, order management, or branch support.
• Experience preparing quotes, processing orders, and coordinating with vendors.
• Familiarity with HVAC equipment and replacement parts.
• Strong organizational and communication skills.

Responsibilities

• Oversee day-to-day operations at the Newport News location.
• Serve as primary contact for contractors and customers.

Job Details

Summary: We’re opening a new location in the Newport News area and looking for an experienced HVAC Parts & Operations Coordinator to help manage day-to-day operations and support our local customers.

Our company specializes in HVAC controls, building automation, and commercial mechanical solutions, providing contractors and building owners with equipment, parts, technical support, and automation solutions. This role is ideal for someone with experience in HVAC distribution, supply, parts, or equipment with a background in customer support, quoting, purchasing, inventory, and order coordination.

What You’ll Be Doing

• Help oversee the day-to-day operations of the Newport News location


• Serve as a primary point of contact for contractors and customers


• Prepare quotes, process orders, and source HVAC equipment and replacement parts


• Coordinate purchasing, vendors, inventory, shipping, and deliveries


• Track orders and help resolve product, warranty, and delivery issues


• Maintain branch organization, product availability, and customer communication


• Work closely with internal teams and outside sales to keep customer needs and projects moving


• Help train and support additional branch employees as the location grows


• Take on additional branch responsibility as the business expands

What We’re Looking For

• Experience within HVAC distribution, HVAC supply, commercial HVAC, mechanical equipment, or a related industry


• Background in parts, customer service, order management, purchasing, or branch support


• Experience preparing quotes, processing orders, and coordinating with vendors


• Familiarity with commercial HVAC equipment and replacement parts


• Strong organizational, communication, and problem-solving skills


• Comfortable working independently and wearing multiple hats


• Experience with inventory, logistics, warranties, or purchasing is a plus
