Job summary

Weikle’s Hometown Heating & Air is seeking a detail-oriented HVAC Dispatcher / Service Coordinator to schedule and dispatch service technicians, coordinate daily operations, and communicate with customers. The role includes after-hours dispatch on-call responsibilities and occasional weekend events.

Responsibilities

• Coordinate and manage daily HVAC service and technician schedules.
• Assign calls based on technician availability, location, skill level, and customer needs.
• Monitor the dispatch board and update schedules as needed.
• Respond to emergency calls, cancellations, delays, and last-minute scheduling changes.
• Update customers on technician arrival times and changes.
• Coordinate with management and the office team to keep the day running smoothly.

Pay: $20.00 – $25.00 per hour (depending on experience in specific role)

Responsibilities

• -Coordinate and manage daily HVAC service and technician schedules
• -Assign calls based on technician availability, location, skill level, and customer needs
• -Monitor the dispatch board throughout the day and update schedules as needed
• -Respond quickly to emergency calls, cancellations, delays, and last-minute scheduling changes
• -Update customers on technician arrival times, delays, and scheduling changes
• -Communicate with technicians about job assignments and scheduling updates
• -Coordinate with management and the office team to keep the day running smoothly from the first call through the final appointment
• -Track outstanding rebates or registrations and follow through until completed
• -Provide professional, friendly, responsive communication with customers
• -Answer scheduling questions and service concerns
• -Resolve scheduling issues before they become customer complaints
• -Follow up when needed to ensure customers receive the expected level of service
• -Maintain accurate customer notes and documentation in company software systems
• -Maintain accurate maintenance records and schedule jobs as needed
• - Follow up with Estimates and sales rehash
• -Pull permits, schedule inspections and process warranties
• -Order parts and schedule repairs
• -Process part warranties
• -Organize and run reports
• -Collect paymentsAccounts Receivable Support
• -Help with accounts receivable tasks, including reviewing outstanding customer balances
• -Support payment collection and follow up with customers professionally
