Time zone: Must be available during Mountain Standard Time (MST) business hours
Compensation: $8-$12 per hour, commensurate with experience
About Company and Role
The company is seeking a highly detail-oriented and independent Accountant to manage daily financial operations for a growing HVAC business. This role is critical in maintaining financial accuracy, supporting decision-making, and ensuring real-time visibility into company performance.
The role
This Accountant works mainly inside ServiceTitan, owning three things every day: getting completed jobs invoiced, keeping job costs accurate, and making sure every job expense lands on the right job. You'll make sure what happens in the field shows up correctly in ServiceTitan, QuickBooks Online and Bill.com, so the owner sees real-time profit by job.
You’ll work independently, follow a set daily, weekly and month‑end routine, and help improve our accounting workflows over time.
What you’ll do
1.Daily invoicing in ServiceTitan (top priority)
- Review every job completed the prior day and make sure it is invoiced, complete and accurate: pricebook items, materials and equipment, sales tax, customer details, membership discounts and financing.
- Reconcile technician field payments (card, check, cash) to invoices and record deposits.
- Export invoice and payment batches from ServiceTitan to QuickBooks Online and resolve sync errors the same day.
- Track receivables, run AR aging, and follow up on unpaid invoices weekly.
2.Job costing
- Track labor, materials and equipment costs on every job, comparing estimates to actuals.
- Review technician daily timesheets and job completion data so labor costs post to the right jobs.
- Review gross margin on completed install jobs each week and flag cost variances to the owner.
- Coordinate with field teams to fix missing or incorrect job data before invoicing.
3.Job expenses and payables
- Enter purchase order receipts for parts and equipment so material costs land on the correct job.
- Code incoming vendor and subcontractor bills in Bill.com to the right account and job, matched to their ServiceTitan PO, and route them for approval.
- Run weekly vendor payment batches in Bill.com, reconcile supply house statements, and resolve billing issues with vendors.
- Review open POs weekly (received but not billed, billed but not received).
4.Bookkeeping, payroll and reporting
- Match bank and credit card feeds daily in QuickBooks Online and attach receipts and support for a clean audit trail.
- Process bi‑weekly payroll for technicians and virtual staff.
- Send the owner a weekly income and expense summary.
- Support month‑end close: bank and card reconciliations, AR and AP tie‑outs between systems, inventory adjustments, and monthly Balance Sheet, Income Statement and Cash Flow reports.
5.Systems and process improvement
- Troubleshoot ServiceTitan accounting issues and improve workflows over time.
- Support vendor onboarding and offboarding, lien tracking, audits and compliance tasks.
Requirements:
- Degree in Accounting, Finance or a related field.
- 1+ year of hands‑on ServiceTitan experience, especially invoicing, job costing and accounting exports (strongly preferred).
- 1+ year of proven experience with QuickBooks Online.
- 1+ year of accounting experience in the trades: HVAC, plumbing, electrical, mechanical or similar.
- 2+ total years of accounting experience with US companies
- Strong grasp of job costing and service‑based workflows (estimates vs. actuals, labor and material costing).
- Experience with AR, AP, payroll and monthly financial reporting.
- High attention to detail; you catch errors before invoices go out.
- Works independently with minimal supervision and makes sound day‑to‑day decisions.
- Strong organization, time management and written English for working with U.S. field staff and vendors.
Nice-to-have
- Experience managing seasonal cash flow.
- Familiarity with contractor accounting best practices.
- Experience building or improving accounting systems and workflows.
