Job description

Position Summary

The HR & Safety Coordinator supports the daily administration and coordination of the company's Human Resources and workplace Safety programs. This position serves as a key resource for employees and supervisors and is responsible for ensuring assigned HR and Safety activities are completed accurately, timely, and in accordance with company policies and applicable regulatory requirements. The HR & Safety Coordinator will have a strong presence both in the office and on the manufacturing floor. The position will coordinate recruiting, onboarding, employee documentation, training, safety inspections, incident follow-up, recordkeeping, and other HR and Safety initiatives. The successful candidate must be organized, approachable, detail-oriented, comfortable working in a manufacturing environment, and capable of independently managing assigned responsibilities while recognizing when issues should be escalated to the Director of Human Resources.

Essential Duties and Responsibilities
Human Resources
  • Coordinate recruiting activities, including reviewing applications, conducting initial candidate screenings, scheduling interviews, and assisting with the selection process.
  • Coordinate pre-employment activities and new-hire onboarding.
  • Conduct or assist with new-hire orientation and ensure required employment and safety documentation is completed.
  • Maintain accurate and confidential personnel files and HR records.
  • Assist with Form I-9 compliance, E-Verify, and related employment eligibility documentation.
  • Assist employees and supervisors with general questions regarding company policies, procedures, payroll, timekeeping, attendance, benefits, and other HR matters.
  • Assist with attendance administration and maintain related documentation.
  • Prepare employee documentation, correspondence, corrective-action forms, and other HR materials as directed.
  • Assist with employee relations matters, including gathering information, documenting employee concerns, and participating in workplace investigations as assigned.
  • Assist with leave-of-absence administration and required documentation.
  • Maintain and prepare HR reports, spreadsheets, employee data, and workforce metrics.
  • Coordinate employee training, recognition programs, service awards, communications, and company events.
  • Assist with benefits enrollment activities and employee benefit communications.
  • Maintain confidentiality of employee and company information at all times.
  • Serve as a day-to-day HR resource and provide departmental coverage when the Director of Human Resources is unavailable.
  • Perform other HR duties and special projects as assigned.
Safety
  • Support the administration and continuous improvement of the company's workplace safety programs.
  • Maintain required safety records, files, inspection documentation, training records, and compliance documentation.
  • Assist with OSHA recordkeeping, including OSHA 300, 301, and 300A documentation as directed.
  • Participate in workplace injury, near-miss, property-damage, and safety incident investigations.
  • Assist with root-cause analysis and track corrective and preventive actions through completion.li>
  • Conduct routine plant safety inspections and document identified hazards and corrective actions.
  • Maintain regular visibility on the manufacturing floor and reinforce established safety rules and expectations.
  • Coordinate and document employee safety training.
  • Assist with new-hire safety orientation.
  • Monitor required safety training and notify management of upcoming or overdue requirements.
  • Assist with the administration and documentation of programs including:
  • Powered Industrial Trucks/Forklifts
  • Lockout/Tagout (LOTO)
  • Personal Protective Equipment (PPE)
  • Hearing Conservation
  • Respiratory Protection
  • First Aid/CPR
  • Fall Protection
  • Hot Work
  • Other applicable safety programs
  • Assist with PPE inventories, inspections, and employee compliance.
  • Coordinate with occupational health clinics, safety consultants, training providers, and other outside vendors as necessary.
  • Assist with preparation for OSHA inspections, customer audits, insurance inspections, and other regulatory or compliance reviews.
  • Track safety observations, corrective actions, training requirements, and other safety performance indicators.
  • Assist supervisors with safety documentation and follow-up.
  • Immediately report serious hazards, injuries, unsafe conditions, or significant compliance concerns to appropriate management.
  • Promote employee participation in the company's safety programs and reinforce a proactive safety culture.
Qualifications
  • Associate's or Bachelor's degree in Human Resources, Business Administration, Occupational Safety, or a related field preferred.
  • 2-4 years of related HR, Safety, or manufacturing administrative and coordinator experience preferred.
  • Experience in a manufacturing, production, warehouse, or industrial environment strongly preferred.
  • An equivalent combination of education and relevant experience may be considered.
Knowledge and Skills
  • Working knowledge of general Human Resources practices and employment documentation.
  • Basic knowledge of OSHA regulations and workplace safety principles; ability and willingness to develop more advanced safety knowledge.
  • Strong organizational and follow-up skills.
  • Excellent written and verbal communication skills.
  • Ability to communicate effectively with employees at all organizational levels.
  • Strong attention to detail and accuracy.
  • Ability to manage multiple priorities and deadlines.
  • Ability to handle confidential and sensitive information appropriately.li>
  • Ability to exercise sound judgment and recognize when matters require management involvement.
  • Proficiency with Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
  • Experience with HRIS/payroll systems preferred.
  • Ability to prepare reports, maintain spreadsheets, and accurately manage electronic and paper records.
  • Bilingual English and Spanish skills are a plus but not required.
Preferred Certifications

The following certifications are preferred or may be obtained after hire:

  • OSHA 10-Hour or OSHA 30-Hour General Industry
  • First Aid/CPR/AED
  • Forklift/Powered Industrial Truck Train-the-Trainer
  • SHRM-CP, PHR, or other HR certification
  • Additional occupational safety training or certifications
