Job description

JOB SUMMARY

The HR Representative provides reliable and organized administrative and operational support to the HR team. This role plays a key part in maintaining employee records, supporting Total Rewards functions, assisting with onboarding and offboarding, supporting recruitment activities, responding to routine employee inquiries, managing invoices, and facilitating the overall day-to-day administrative functions of the HR department. The HR Representative’s leans on attention to detail and friendly, efficient service to manage multiple tasks in a fast-paced environment while contributing to a positive employee experience.

ESSENTIAL DUTIES, FUNCTIONS & KEY ACCOUNTABILITIES

(include but are not limited to)

  • Participates in developing HR team department goals, objectives, and systems
  • Serves as a main contact for new hires
  • Responsible for the new employee orientation program, including room set-up, notification to departments, and on-boarding materials
  • Partners with Payroll department to ensure the success of employee bi-weekly payroll by entering employee pay changes into the system within two business days of receipt
  • Responds timely and accurately to all employee inquiries and concerns
  • Develops courteous, professional, and productive relationships with employees, managers, consultants, and other entities and agencies within and outside the Company
  • Maintains regular communication to deliver results and achieve HR team goals
  • Assists with the administration of Total Rewards programs, including annual open enrollment
  • Maintains electronic and traditional filing systems
  • Assists the Talent team with job description development, scheduling interviews, pre-boarding employment checks, and communication with candidates throughout the recruiting and hiring process
  • Participates in and assists with HR training
  • Assists with the annual HR programs and compliance review process, including, but not limited to, employee handbook review and recommendations for policy changes, HR documents and training materials review and updates
  • Assists with employee exit process
  • Recommends and assists in immediate implementation of changes to fix problem areas
  • Assists in the maintenance of the database for reporting and compliance purposes
  • Administers HRIS system: including maintaining current employee information, develops and processes reports using HRIS database
  • Extracts information from the HRIS and distributes ad hoc reports as needed, provides related reports in a timely and accurate manner, meeting required deadlines
  • Assists with special events and projects such as training programs, employee recognition, holiday party, company picnic, etc. as needed
  • As requested, provides documents for internal and external auditors
  • Maintains adherence to any compliance reporting standards for local, state, regional or general reporting
  • As needed, is available outside of normal work schedule to handle emergencies or attend special meetings/conferences
  • Other duties as assigned

QUALIFICATIONS & PREREQUISITES
Required
  • Associate degree or commensurate relevant work experience
  • Displays proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and HRIS systems
Preferred
  • Minimum of 2 years’ experience required in HR field
