A Tenex Portfolio Company is seeking a Manager of HR Operations to join our platform. The Manager of HR Operations reports directly to the VP of Human Resources and runs the day-to-day operational engine of HR across our multi-company platform. You'll own ADP administration, core HR processes, compliance administration, and the hands-on execution of partner company integrations, so that the VP of HR can stay focused on strategy, executive partnership, and enterprise-level decisions.
This role is for someone who loves getting the details right and making processes simple for the field. You'll keep our systems clean, our compliance calendar on track, and our partner companies supported, and you'll know when an issue needs to go to the VP of HR or outside counsel. We need someone who can run what's built, tighten it, and keep it running reliably as we grow.
Key Responsibilities:
HRIS Administration & Process Excellence
- Serve as the day-to-day ADP Workforce Now administrator: security roles, table maintenance, process flows, and user support
- Keep employee data clean and audit-ready; run regular data audits and correct errors at the source
- Build and maintain standard and custom ADP reports for HR, Finance, and business leaders
- Partner with Payroll and Finance to make sure data flows accurately between ADP and downstream systems
- Document HR workflows and keep process guides current so field teams know exactly how to use the system
- Support system implementation projects (new modules, upgrades, process improvements), including testing, configuration, and field training
- Serve as the first line of troubleshooting for ADP issues and manage vendor tickets through resolution
HR Operations & Employee Relations Support
- Run day-to-day HR operations including onboarding/offboarding processes, employment verifications, and personnel file standards
- Administer leaves of absence in partnership with the Benefits Manager and third-party administrators, tracking cases from request to return
- Serve as the first point of contact for partner company HR questions and route issues to the right owner
- Conduct routine employee relations investigations and document findings; escalate complex, high-risk, or legal matters to the VP of HR
- Apply policies consistently across the platform and flag gaps or inconsistencies to the VP of HR
- Maintain case tracking and documentation standards for ER and leave matters
Integration Execution
- Execute the people-side integration checklist for new partner company acquisitions (4-6 annually), under the direction of the VP of HR
- Set up new entities in ADP: employee data conversion, onboarding to processes, and Day 1 documentation
- Coordinate integration tasks with Finance, IT, Payroll, and Benefits to meet Day 1 deadlines
- Support local HR practitioners at acquired companies as they learn systems and processes
- Track open integration items and report status and issues to the VP of HR
Compliance & Risk Administration
- Maintain the HR compliance calendar and make sure filings are completed accurately and on time
- Prepare and file EEO-1 reporting; coordinate data for Form 5500, 1095-C, 401(k) non-discrimination testing, and state reporting with vendors and Finance
- Run I-9 and E-Verify audits and remediation; coordinate with H-2B and work authorization vendors on documentation and deadlines
- Track federal, state, and local employment law changes and bring recommended updates to the VP of HR
- Maintain handbook state addendums and required postings, with legal review coordinated through the VP of HR
- Gather documentation and data for EEOC charges, DOL audits, and claims in support of the VP of HR and outside counsel
- Coordinate with third-party administrators on workers' compensation, disability, and PFML claims
- Partner with our benefits broker and insurance carriers on incident reporting, workers' compensation audits, and MVR (motor vehicle record) audits; make sure partner companies report incidents promptly and audit data is accurate
Field Training & Support
- Train partner company managers and local HR practitioners on ADP, onboarding, and core HR processes
- Create simple job aids and how-to guides that make processes easy to follow in the field
- Contribute to HR Lunch & Learn sessions and other field HR forums
Qualifications:
- 4-6 years of progressive HR experience, with at least 2 years in HR operations or HRIS in a multi-site or multi-entity environment
- Working knowledge of multi-state employment law and compliance requirements
- Hands-on HRIS administration experience; ADP Workforce Now experience strongly preferred
- Experience supporting the HR side of acquisitions or integrations (data conversion, onboarding, Day 1 readiness)
- Experience preparing compliance reporting such as EEO-1, 1095-C, and I-9 audits
- Experience supervising or mentoring at least one HR team member (formal or informal)
- Strong process orientation; you document, follow through, and close the loop
- Clear communicator who can train frontline managers and explain HR processes in plain language
- Bachelor's degree in HR, Business, or related field; PHR or SHRM-CP certification preferred
Location:
- This role is 100% remote, with a regional preference in Chicago. Occasional travel (up to 20%) to partner company locations for integrations, training, or site visits.
