The Human Resources Leave Specialist is responsible for providing comprehensive HR support across a fast‑paced, multi‑site, multi‑state organization. This role partners with HR and operational leaders to administer the employee leave process, drive compliance and consistency, monitor complex employee cases, and contribute to process excellence and continuous improvement. The ideal candidate thrives in a dynamic environment, demonstrates sound judgment, and adapts quickly to evolving business needs.

Duties and Responsibilities

Serve as member of the Groundworks HR Operations Center of Excellence as a part of a centralized team to deliver best‑in‑class HR services and Employee Relations. Specific duties will include: Leave Administration Administer the process for return to work. When employee needs accommodations, manage process with line manager and HRBP/G to determine return to work (RTW) feasibility. Provide HR team with regular (e.g., weekly) reporting, customized as needed. Maintain regular communications with employees, including: send communications to employees in anticipation of RTW, provide information on RTW and/or filing of extensions, and coordinate any review of RTW restrictions/limitations. Manage compliance with Americans with Disability Act (ADA), including: coordinate HRBP/manager meetings to review ADA accommodation requests, follow up on employee non‑completion of ADA requests, and follow up on “no response” HR/manager ADA review action items. Validate timecards against intermittent time and state leave reports. Leave email box support Engagement, Reporting, Auditing Prepare HR reports and provide insights and trends to drive business objectives. Inform employees and managers on leave process, including filing and timelines Compile and implement best practices related leave management Support compliance audits and maintain required employment documentation. General duties Ensure compliance with multi‑state employment laws, company policies, and regulatory requirements. Collaborate cross‑functionally with Payroll, Benefits, Talent Acquisition, and Legal as needed. Ensure accuracy and timeliness of HRIS transactions while maintaining data integrity. Leverage Workday to process HR transactions, including employee data changes, position management and onboarding workflows. Create and update Standard Operating Procedures (SOPs) and job aids to align with business and HR processes. Ensure documentation is clear, accessible, and promotes operational efficiency. Collaborate on initiatives to build a positive workplace culture and enhance internal communication. Other duties as assigned.

Qualifications
  • 3+ years of HR experience, preferably in a specialist capacity, or 1+ year of HR experience and a Bachelor’s degree in Human Resources, Business Administration, or related field.
  • Knowledge of federal, state, and local employment laws and regulations.
  • High level of professionalism, discretion, and confidentiality
  • Proficiency in Workday HRIS, including transaction processing and reporting.
  • Certification in HR (e.g., SHRM-CP, PHR) is a plus.
  • Strong organizational skills with the ability to manage multiple priorities in a fast‑paced environment.
  • Exceptional interpersonal and communication skills with the ability to build strong relationships across all levels of the organization.
  • Proficiency in HRIS systems and Microsoft Office Suite.
  • Proficiency in Excel and other data management tools.
Working Conditions

This role will sit onsite in either of our corporate offices located in Virginia Beach, VA or Irving, TX, with occasional travel to field locations as needed up to 10% of the time. This role may be allowed up to one (1) remote day per week. The compensation range for this role is $55,000-$70,000. Salary is based on experience. Ability to sit, stand, and walk for extended periods during the workday. Ability to occasionally lift and move objects weighing up to 15 pounds. Manual dexterity to operate standard office equipment such as a keyboard, mouse, phone, and copier. Visual and auditory ability to read and interpret information and communicate effectively with others.
