Job summary

Internera’s HR internship provides hands-on administrative and recruiting support within UW–Madison’s Human Resources function. You’ll assist with candidate outreach, interview coordination, onboarding, and maintaining employee records and calendars.

Under supervision, you’ll learn processes, contribute to HR operations, and gain practical experience across the employee lifecycle while protecting confidentiality and following established guidelines.

Qualifications

  • Current undergraduate student; coursework in human resources, business, management, communications, psychology, or a related field is helpful but not required
  • Strong written and verbal communication skills
  • Excellent organization, attention to detail, time management, and follow-through
  • Ability to handle private employee and candidate information with discretion and professionalism
  • Ability to take initiative, ask questions, follow established processes, and accept feedback
  • Preferred knowledge of Google Workspace, Airtable, Handshake, Canva, LinkedIn
  • Previous office, customer service, recruiting, student-organization, or administrative experience is helpful but not required

Responsibilities

  • Help post and maintain internship opportunities across approved platforms
  • Research and contact UW–Madison student organizations, professors, academic departments, and career centers
  • Track outreach activity, candidate sources, application, and follow-up needs
  • Communicate professionally with candidates and provide timely updates using approved templates and guidance
  • Coordinate interview availability and send confirmations, reminders, and meeting details
  • Prepare interview materials and help keep candidate information organized
  • Sit in on selected interviews to take notes, observe the process, and support follow-up under the managers direction
  • Maintain confidentiality and avoid making independent hiring commitments or decisions
  • Help prepare and distribute onboarding materials, forms, and training
  • Track completion of required onboarding steps and follow up on missing items
  • Keep employee folders, contact information, and other approved records accurate and up to date
  • Add important employee, internship, training, and compliance dates to shared calendars
  • Monitor submitted time-off requests, update approved calendars or trackers, and alert the appropriate manager to conflicts or pending requests
  • Maintain organized HR trackers, templates, and digital files
  • Assist with other routine HR projects and administrative tasks as assigned

Department Overview

Internera’s Human Resources Department supports a positive, organized, and consistent experience for candidates, interns, and employees.
The department assists with recruitment, candidate communication, interview coordination, onboarding, employee records, training documentation, calendars, time-off tracking, and general HR administration. HR team members work closely with company leadership and managers to maintain accurate information, protect confidentiality, follow established processes, and help ensure employees receive the support they need throughout their time with Internera.

Schedule

This position will be hybrid with most work able to be completed remotely. There will be occasional meetings where you will be required to come in-person to our home-base at The Rigby in downtown Madison. This position will be about 5-10 hours per week.

Salary/Wage Range/Lump Sum

Minimum: $15.00 Maximum:$17.00

  • Ability to manage several deadlines and maintain accurate information across calendars, folders and trackers
  • Professional judgement and ability to recognize when a matter should be escalated to a manager
  • Ability to work independently on assigned tasks while collaborating closely with managers and team members

Position Summary

Role Boundaries and Confidentiality

This is a supervised learning position. The intern may coordinate and document HR activities but will not independently make hiring, disciplinary, compensation, leave, or other employment decisions. All confidential information must be handled only through approved systems and shared solely with authorized individuals.

Physical Demands

Ability to use a computer and phone for extended periods and occasionally move materials weighing up to 15 pounds. Reasonable accommodations may be provided to qualified individuals with disabilities.
