Job summary

Ascendion is seeking a Workforce Planning/People Operations Specialist to support day-to-day headcount operations, including position releases and hiring request workflows, onsite in Chicago, IL.

The role focuses on improving tracking tools, reporting, SOPs, and cross-functional collaboration to unblock open positions and drive efficient headcount management within the HR function.

Qualifications

  • Experience in HR capacity, specifically workforce planning.
  • Ability to work independently and in a team.
  • Strong attention to detail and organizational skills.
  • Able to navigate complex organizational structures.
  • Ability to learn and adapt to new tools and systems (e.g., OrgTool, GSD).

Responsibilities

  • Headcount & Position Management (Business as Usual)
  • Help with the release/return of open positions from reserve to teams and track these releases.
  • Support movement in and out of the departmental headcount reserve by making updates in the workforce management system.
  • Pull organizational data exports when needed.
  • Work with cross-functional partners to help unblock open positions if there are any roadblocks.
  • Manage and review the queue of organizational change requests.
  • Assign workflows to incoming hiring requests.
  • Ensure requests are progressing through approval queues and close out completed tickets.
  • Own and improve the headcount release tracker for next year - Explore integrations/automations for the release tracker.
  • BAU Reporting. (Project-Based)
  • Own and improve operational metrics that we report out on.
  • Team Operations Management (Project-Based).
  • Project Timing: Will start in H2, will take about a quarter.
  • Capture and develop the team’s Standard Operating Procedures (SOPs) in partnership.

Title: Workforce Planning/People Operations Specialist

Location: Onsite/Chicago, IL

Job Scope:

  • Previous experience working in an HR capacity. (workforce planning)

Technical Skills Required:

  • Proficiency in G‑Suite.
  • Some level of position management experience.
  • Database management and data visualization.
  • Excellent communication and writing skills.

Preferred Skills:

  • Strong analytical and problem‑solving skills.
  • Workforce management system experience.
  • File management and document version control.

Salary Range: $79,000 - 89,000 annually. Factors that may affect pay within this range may include geography/market, skills, education, experience, and other qualifications of the successful candidate.
