Job summary

Midwest Express Clinic is seeking a detail-oriented Staffing & Scheduling professional to own clinic staffing operations. You will build and audit schedules, respond to real-time gaps, and partner with leaders to align staffing with patient volumes across multiple sites.

You will analyze attendance, enforce policy compliance, and develop scalable processes as we grow, turning data into actionable improvements and delivering reliable coverage with minimal disruption.

Qualifications

• 2–4 years of experience in workforce operations, scheduling, or HR operations, ideally in healthcare or a multi-site environment.
• Strong Excel/data skills; experience with Paycom or similar HRIS/timekeeping systems a plus.
• Calm, quick decision-making under pressure.
• Strong organizational skills and attention to detail.
• A mindset aligned with our PACT values.

Responsibilities

• Build, coordinate, and maintain clinic schedules to ensure consistent staffing coverage.
• Audit schedules for compliance with staffing requirements, labor rules, and company policy.
• Partner with clinic and regional leaders to align staffing with patient volumes and clinic needs.
• Manage call-offs, last-minute gaps, and coverage needs as they arise.
• Coordinate float staff, shift swaps, and cross-clinic coverage.
• Communicate staffing changes quickly and clearly to leaders and teams.
• Track attendance, tardiness, and schedule exceptions across clinics.
• Support leaders with attendance-related progressive discipline, ensuring consistency and documentation.
• Monitor and reinforce break, scheduling, and timekeeping policies.
• Analyze staffing, attendance, and scheduling trends to identify risks and opportunities.
• Build reports and dashboards that give leaders visibility into coverage and compliance.
• Design more structured, scalable scheduling processes as we grow.
• Flag staffing shortages to Recruiting to help prioritize hiring.

The Role

This role owns clinic staffing and scheduling operations, making sure we have the right people in the right place at the right time. You’ll manage schedules across our clinics, respond to real-time staffing gaps, and build the structured, scalable processes that keep clinics running smoothly.

What You’ll Own

What We’re Looking For
