Job summary

Job SummaryThe Human Resource Generalist is responsible for the daily functions of the Human Resources department specific to recruitment and payroll responsibilities.Duties and ResponsibilitiesMaintains high standards of confidentiality of all employee records and information.Recruitment & RetentionAssists in maintaining the applicant tracking system making sure jobs are posted timely, closed, and all email announcements are sent out in a timely manner to employees, successful and unsuccessful candidates.Assists hiring managers with identifying and screening potential employees.Handles employment-related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff.Ensures all pre-employment requirements are met including candidates OIG/GSA/Sam search, references, credentials, verifying experience, education, E-Verify, background check and drug screening.Arranges meeting locations, travel, and/or accommodations for applicants.Coordinates and conducts employee orientation.Organizes training and development initiatives.Seeks and registers for job fairs, attending when appropriate.PayrollResponsible for reconciling timecards, including reviewing employee timecards to ensure accuracy, identifying any discrepancies, and approving the hours worked before they are submitted for payroll processing; this includes checking for errors like missed punches, incorrect job codes, and improper lunch punches.Implements, maintains, and reviews payroll processing systems to ensure timely and accurate processing of payroll transactions including timecards, salaries, benefits, expenses, garnishments, taxes, and other deductions, in compliance with government regulations.Assists with proofing payroll prior to submitting to the Director of Human Resources and CFO for submission.Prepares and maintains accurate records and reports of payroll transactions.Ensures accurate and timely processing of new hires.Ensure compliance with federal, state, and local payroll, wage, hour laws and best practices.Facilitate audits by providing records and documentation to auditors.Identifies and recommends updates to payroll processing software workflows and procedures.ExpensesReviewed and verified supporting documentation for all expenses prior to submitting to management for final approval.Benefits (Back Up)Processes new hire information and employee changes.Utilize the HRIS system to maintain complete and up-to-date records.Assist with Open Enrollment in HRIS and Open Enrollment employee events.TrainingReviews, tracks, and documents compliance with mandatory and non-mandatory training, continuing education, and work assessments. This may include safety training, anti-harassment training, professional licensure, and aptitude exams and certifications.PerformanceManages Performance Management in HRIS including job description maintenance, creating, along with the manager, performance reviews for all positionsResponsible for managing job performance reviewsMonitor Performance Management program for efficiency and recommends improvements as necessary.CredentialingWorks closely with the credentialing human resources generalist to ensure references are received timelyEmployee RelationsMaintains personnel files in compliance with applicable legal requirements.Provides excellent customer service while being friendly and courteous to all employees and patients.Provide support to employees in various HR-related topics and resolve any issues that may arise, elevating matters to the Human Resources Lead when appropriate.Provide guidance to employees and managers on human resources policies and procedures.Assist in development and implementation of human resource policies and Standard Operating Procedures (SOP).Maintains and updates human resources documents, such as employee handbook, job descriptions, competencies, and performance evaluations.HRISProficiency with the ability to quickly learn the organization’s HRIS and talent management systems and keep up to date on system updates.Attends monthly update meetings for HRISServe as subject-matter expert regarding all HRIS function, responsible for maintenance of system specifically Talent Management, Performance ManagementOptimize HRIS system and workflows.Supports HRIS Super Users.Analytics and ReportingPerforms personnel audits.Assists with performance metric reportsOtherPrepares basic correspondence relating to personnel matters.Performs other duties as assigned.Education and ExperienceBachelor’s degree in Human Resources, Business Administration, or related field required.One to three years of human resources management experience preferred.Current human resources and/or compensation credentials or certification, such as PHR, SPHR, SHRM-CP, or SHRM-SCP.Certificates, Licenses and RegistrationsWill need to keep current licenses as required by federal, state, or other regulatory agencies.Required Skills and AbilitiesExcellent verbal and written communication skills.Excellent interpersonal, negotiation, and conflict resolution skills.Excellent organizational skills and attention to detail.Excellent time management skills, with proven ability to meet deadlines.Strong analytical and problem-solving skills.Ability to prioritize tasks, delegating when appropriate.Ability to function well in a high-paced and, at times, stressful environment.Ability to act with integrity, professionalism, and confidentiality.Thorough knowledge of employment-related laws and regulations.Proficient with Microsoft Office Suite or related software.Proficiency with, or able to quickly learn, HRIS and talent management systems.
