Job summary

Pathways Forward is seeking an organized Human Resources Generalist to support HR projects, HRIS administration, recruitment, onboarding, and employee data management. You will report to the Director of Human Resources and Operations and help maintain confidential employee records while ensuring a positive candidate experience.

The ideal candidate has strong interpersonal skills, meticulous attention to detail, and experience with HR systems.

Responsibilities

  • Support HR projects, policies, forms, workflows, and processes.
  • Coordinate recruitment activities and onboarding materials.
  • Set up hires in HRIS, payroll, and performance systems; ensure documentation is complete.
  • Maintain accurate employee data across systems and generate reports.
  • Provide administrative HR support and assist with training administration and LMS tasks.

Salary Range: $45,000.00 To $50,000.00 Annually

Position Overview

The Human Resources Generalist provides administrative and project support to the Human Resources department, reporting to the Director of Human Resources and Operations. This position plays a key role in supporting HR project management, HRIS administration, recruitment, onboarding, employee data management, and day-to-day HR operations.

HR Projects & Process Improvement

  • Support the development, implementation, and continuous improvement of HR policies, procedures, forms, tools, workflows, and processes.
  • Assist with organizational HR initiatives and special projects from planning through implementation.
  • Conduct research and provide administrative support for HR programs and initiatives.
  • Identify opportunities to improve HR efficiency, processes, and the employee experience.
  • Develop and maintain HR forms, templates, workflows, and standard operating procedures.

Recruitment & Onboarding

  • Support recruitment activities, including job postings, interview coordination, candidate communications, and hiring documentation.
  • Prepare onboarding materials and coordinate pre-employment requirements, including background screenings and drug testing.
  • Set up new hires in the HRIS, payroll, performance management, and other applicable systems.
  • Coordinate onboarding activities and ensure required documentation is completed accurately and on time.
  • Process employee data changes, including hires, promotions, transfers, wage changes, and separations.

HRIS & Systems Administration

  • Maintain accurate employee records and data across HR systems.
  • Administer and maintain HRIS, onboarding, and performance management systems.
  • Assist with system updates, testing, troubleshooting, and implementation of new system features and processes.
  • Support performance management activities, including evaluation cycles, forms, stay interviews, and related reporting.
  • Monitor system workflows and ensure HR processes are completed accurately and timely.

HR Data & Reporting

  • Prepare recurring and ad hoc HR reports for leadership.
  • Assist with audits to ensure accuracy and consistency across HR systems.
  • Maintain HR tracking tools and databases.
  • Identify trends, discrepancies, or data concerns and communicate them to the appropriate HR team member.

HR Administration & Support

  • Maintain accurate, confidential personnel records and documentation.
  • Assist with employment documentation, reporting, and compliance-related activities.
  • Provide administrative support to the Human Resources department as needed.
  • Perform other HR projects and duties as assigned.

Training Administration Backup Support

  • Provide backup support for training administration and coordination during staff absences or as assigned.
  • Assist with scheduling training sessions, maintaining attendance records, updating training documentation, and distributing training materials.
  • Provide backup support for the Learning Management System (LMS), including assigning training, updating records, and running completion reports.
  • Assist with maintaining training materials, calendars, and required training documentation.
  • Support training compliance tracking, reporting, and follow-up on outstanding requirements.
  • Perform other training-related administrative duties to ensure continuity of the organization's training functions.

Qualifications & Requirements

  • High school diploma or equivalent required.
  • College coursework or credits preferred.
  • At least three (3) years of experience in human resources or a related field, with experience relevant to the responsibilities of the position.
  • Strong interpersonal and communication skills.
  • Excellent organizational and time-management skills.
  • Strong attention to detail and ability to maintain accurate records.
  • Ability to handle confidential employee and organizational information with discretion.
  • Ability to manage multiple priorities, projects, and deadlines effectively.
  • Comfortable working with HRIS and other computer-based systems.
  • Accessibility to a vehicle is required.
  • Act 33/34 clearances are required.

This is a confidential management position and is not eligible for bargaining unit status.
