Grown Rogue is a vertically integrated cannabis cultivation and production company committed to producing high-quality, craft cannabis at scale. We operate cultivation and production facilities where our teams work under a collectively bargained labor agreement. We're looking for a Human Resources Coordinator who understands both the operational demands of a cultivation/production environment and the day-to-day responsibilities of administering a union contract.
Position Summary
The HR Coordinator provides day-to-day human resources support to a unionized cultivation and production workforce, with primary responsibility for collective bargaining agreement (CBA) administration. This role serves as a front-line point of contact for employees and supervisors on union contract questions, grievance intake, seniority tracking, and labor-management communication, while also supporting core HR functions such as onboarding, employee records, leave administration, and compliance. This is a highly visible role that requires discretion, strong organizational skills, and the ability to build trust with both hourly union employees and site leadership.
Key Responsibilities
Union & Labor Relations
- Administer the collective bargaining agreement (CBA) day-to-day, ensuring consistent, accurate application of contract terms across the facility.
- Serve as the first point of contact for employee and supervisor questions regarding contract interpretation, wages, seniority, and job classifications.
- Log, track, and support the processing of grievances, coordinating documentation and timelines with HR leadership and union representatives.
- Maintain accurate seniority lists, bid/bump records, and job posting logs in accordance with the CBA.
- Track and process union dues deductions, dues checkoff forms, and related payroll coordination.
- Prepare for and attend labor-management meetings, union steward check-ins, and grievance meetings; take and distribute meeting notes as needed.
- Support preparation of information requests, data pulls, and documentation for arbitration or contract negotiation as directed by HR leadership or legal counsel.
- Help train frontline supervisors on CBA obligations, past practice considerations, and progressive discipline procedures consistent with the contract.
- Maintain up-to-date knowledge of the current CBA, side letters, and past practice history; flag potential contract violations proactively.
General HR Support
- Coordinate new hire onboarding, orientation, and required documentation (I-9, background checks, cannabis industry licensing/badging requirements).
- Maintain accurate and confidential personnel files, both physical and electronic, in compliance with state and federal recordkeeping requirements.
- Support benefits administration, including enrollment, life event changes, and employee questions.
- Assist with leave of absence tracking (FMLA, state leave, workers' compensation) in coordination with the CBA, company requirements, and applicable law.
- Track attendance, PTO, and disciplinary documentation in the HRIS.
- Support recruiting and staffing efforts for hourly cultivation and production roles, including scheduling interviews and processing new hire paperwork.
- Assist with compliance postings, safety training documentation, and other regulatory requirements specific to a licensed cannabis production facility.
- Provide general administrative support to the HR department, including reporting, correspondence, and special projects.
Qualifications
Required
- 3+ years of experience in a Human Resources Coordinator, HR Generalist, or similar role.
- Minimum of 2–3 years of experience working in a unionized manufacturing environment.
- Direct, hands-on experience administering a collective bargaining agreement, including grievance processing, seniority administration, and contract interpretation.
- Strong working knowledge of labor relations concepts, including past practice, progressive discipline, and the grievance/arbitration process.
- High level of discretion and sound judgment when handling confidential and sensitive employee relations matters.
- Excellent written and verbal communication skills, with the ability to explain contract provisions clearly to both employees and management.
- Strong organizational skills and attention to detail; comfortable managing multiple deadlines and competing priorities.
- Proficiency with HRIS platforms and Microsoft Office (Word, Excel, Outlook).
- Ability to pass a background check and obtain any required cannabis industry work permits/badging.
Preferred
- Experience supporting HR functions within a cannabis cultivation, agriculture, manufacturing, or other production/warehouse environment.
- Previous experience in the cannabis industry is strongly preferred.
- Experience working directly with union stewards, business agents, or labor counsel.
- Bilingual (English/Spanish) strongly preferred given the composition of the frontline workforce.
- Bachelor’s degree in Human Resources, Labor Relations, Business Administration, or a related field, or equivalent combination of education and experience.
- PHR, SHRM-CP, or similar HR certification.
Working Conditions
This role is based on-site at a licensed cannabis cultivation and/or production facility. The HR Coordinator should be comfortable spending a portion of each week on the production floor engaging directly with hourly employees, which may involve exposure to varying temperatures, noise, and standard cultivation/production conditions.
