Human Resources Coordinator
Department: Human Resources
Reports To: Director of Human Resources
Work Year: Twelve (12) Months
Location: In office 2 days a week and Remote
Position Summary
The Human Resources Coordinator coordinates the day-to-day administrative operations of the Human Resources Department for Massachusetts Connections Academy (MassCA), a statewide Commonwealth Virtual School. This position supports recruitment and onboarding, educator licensure tracking, tuition reimbursement, salary lane changes, HR systems administration, personnel records, benefits administration, and employment compliance.
Working collaboratively with school leaders and employees, the Human Resources Coordinator ensures efficient, accurate, and customer-focused HR operations while maintaining compliance with federal and state employment laws, DESE regulations, school policies, and collective bargaining agreements.
Essential Duties and Responsibilities

Recruitment and Onboarding
- Coordinate recruitment activities for professional, administrative, and support staff positions.
- Post employment opportunities through SchoolSpring and other recruiting platforms.
- Manage applicant communications throughout the hiring process.
- Prepare employment contracts, appointment letters, and onboarding materials.
- Process new hires in ADP Workforce Now, Tyler Technologies, and other Human Resources systems.
- Coordinate completion of employment requirements, including Form I-9, federal and state tax forms, direct deposit, CORI, and Massachusetts SAFIS fingerprinting.
- Partner with Information Technology and other departments to ensure new employees have the equipment, system access, and resources needed prior to their start date.
- Coordinate new employee orientation and monitor completion of required onboarding tasks.

HR Systems and Personnel Administration
- Maintain employee records in ADP Workforce Now, Tyler Technologies, Employee Navigator, and other Human Resources information systems.
- Process personnel transactions, including new hires, transfers, promotions, salary changes, and separations.
- Maintain electronic personnel files and conduct routine audits to ensure data accuracy and compliance.
- Prepare employment verification letters, personnel correspondence, reports, and other HR documentation.
- Generate HR reports and employment data to support departmental and organizational needs.

Educator Licensure, Tuition Reimbursement, and Salary Lane Changes
- Maintain educator licensure records and monitor DESE licensure requirements and renewal deadlines.
- Notify employees and supervisors of upcoming licensure expirations.
- Prepare licensure compliance reports for school leadership.
- Administer tuition reimbursement and salary lane change programs by reviewing eligibility, verifying documentation, maintaining records, and coordinating approved salary changes with Payroll.

Benefits and Compliance
- Coordinate employee benefit enrollments, qualifying life events, and annual Open Enrollment.
- Maintain Employee Navigator and assist with monthly benefit invoice reconciliation.
- Ensure compliance with employment documentation, record retention requirements, CORI, Massachusetts SAFIS fingerprinting, and applicable state and federal reporting.
- Maintain HR forms, tracking systems, procedures, and employee resources.

Additional Responsibilities
- Assist with annual staffing processes and employment contract renewals.
- Develop and maintain HR tracking spreadsheets, databases, and reporting tools.
- Recommend improvements to HR processes, workflows, and system efficiencies.
- Cross-train with Payroll to support continuity of operations.
- Perform other duties as assigned by the Director of Human Resources.

Job Requirements
- Qualifications
- Education: Bachelor's degree in Human Resources, Business Administration, Public Administration, Education, or a related field required.
- Experience: Minimum of three (3) years of Human Resources experience required.
- Experience: Experience in a public school district, charter school, or educational organization preferred.
- Experience: Experience with ADP Workforce Now or a comparable Human Resources Information System (HRIS) required.
- Experience: Experience with Tyler Technologies, SchoolSpring, Employee Navigator, or similar Human Resources systems preferred.
- Knowledge, Skills, and Abilities:
- Knowledge of Human Resources principles, employment laws, and HR best practices.
- Familiarity with Massachusetts DESE licensure requirements and collective bargaining agreements.
- Exceptional organizational skills with strong attention to detail.
- Strong customer service, interpersonal, and relationship-building skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities, meet deadlines, and maintain strict confidentiality.
- Proficiency with Microsoft Office, Google Workspace, ADP Workforce Now, Tyler Technologies, Employee Navigator, and other Human Resources information systems.
- Physical Requirements: Ability to work in an office environment.
- Physical Requirements: Ability to sit for extended periods while working at a computer.
- Physical Requirements: Ability to occasionally lift up to 25 pounds.
- Terms of Employment: Twelve-month, full-time position.
- Salary Range: $70,000–$85,000, commensurate with experience.
