Qualifications

  • 1–3 years of HR/benefits/payroll experience.
  • 5+ years of administrative experience or HR/admin combo may substitute for HR/payroll experience.
  • Proficiency with cloud-based data management systems.
  • Strong computer skills including documents on network drives and shared platforms.
  • Intermediate Excel/Word/Google Workspace, including Mail Merge.

Responsibilities

  • Coordinate onboarding for new employees, prep paperwork and orientations.
  • Maintain confidential personnel and payroll records per policies.
  • Assist recruitment: postings, applications, references, verifications, communications.
  • Prepare and issue employee contracts and related documents.
  • Process personnel docs for staffing, classifications, training, evaluations, compensation, attendance, leaves, and separations.
  • Respond to inquiries about policies, benefits, and employment practices.
  • Assist with benefits administration and workers' compensation processes.
  • Assist with timekeeping and payroll processes.
  • Support year-end HR/payroll activities and required reporting.
  • Complete employment verification requests and unemployment claim docs.
  • Compile and maintain HR/payroll reports and forms.

Summary

The Human Resources Coordinator plays a key role in supporting the Human Resources, Benefits, and Payroll functions of Pima JTED. The position provides administrative and project support, assists with department initiatives, and performs a variety of personnel and payroll-related duties. The position requires a high level of confidentiality, accuracy, organization, and attention to detail. The Human Resources Coordinator carries out compliance-related responsibilities in accordance with district policies and procedures and applicable laws, rules, and regulations.

Essential Duties And Responsibilities
  • Coordinates and supports the onboarding process for new employees, including preparation of required paperwork, personnel records, and new employee orientation.
  • Creates, maintains, and updates accurate and confidential personnel and payroll records in accordance with district policies, procedures, and applicable requirements.
  • Assists with recruitment activities, including job postings, application processing, reference and employment verifications, background information, and applicant communication.
  • Assists with the preparation and issuance of employee contracts and other employment-related documents.
  • Processes and verifies personnel documentation related to staffing, employee classifications, training, performance evaluations, compensation, attendance, leaves of absence, and separation from employment.
  • Responds to employee and applicant inquiries and provides information regarding district personnel policies, procedures, benefits, and employment practices.
  • Assists with the administration of employee benefit programs and workers' compensation processes.
  • Assists with timekeeping and payroll processes.
  • Supports year-end payroll and human resources activities, including preparation and reconciliation of required records and reports.
  • Completes employment verification requests, unemployment claim documentation, and other employment-related forms.
  • Compiles, prepares, and maintains reports, spreadsheets, correspondence, forms, and other documents related to human resources and payroll activities.
  • Provides general administrative and project support to the Human Resources and Payroll functions and assists with department initiatives as assigned.
  • Performs other related duties as assigned.
Minimum Qualifications/Education And/or Experience
  • One (1) to three (3) years of experience in Human Resources, benefits administration, or payroll.
  • Five (5) or more years of administrative experience, or a combination of Human Resources and administrative experience, may substitute for the required HR, benefits, or payroll experience.
  • Ability to learn and proficiently use cloud-based data management systems.
  • Strong computer skills, including experience managing documents within network drives, shared platforms, and systems such as Microsoft Teams.
  • Intermediate proficiency in Microsoft Excel, Word, and Google Workspace, including proficiency with the Mail Merge function.
  • Must be able to obtain an IVP Finger Print Clearance Card
  • MMR immunization required (unless born prior to January 1, 1957)
  • Negative TB test (within the last year)
Preferred Qualifications/Education And/or Experience
  • Some college coursework in Human Resources, Business Administration, Accounting, or a related field.
  • Advanced proficiency in Microsoft Excel, including pivot tables and functions such as CONCATENATE and Text to Columns.
  • Experience working in an educational or school district environment.
  • Experience using School ERP Pro or comparable school finance, payroll, or HR software.
  • Knowledge of applicable labor laws, payroll regulations, HR compliance and best practices, and state and federal requirements.
Knowledge, Skills And Abilities
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Knowledge of office concepts, practices and procedures.
  • Highly organized, strong accuracy skills, and detailed oriented.
  • Ability to coordinate and complete multiple tasks/assignments at one time in a timely and efficient manner
  • Knowledge of Career and Technical Education
  • Ability to utilize mathematical formulas, and apply math functions
