GENERAL PURPOSE
Under the supervision of the Human Resources Director, the Human Resources Coordinator provides support by performing essential HR and clerical tasks that contribute to the smooth and efficient functioning of the Human Resources Department.
ESSENTIAL FUNCTIONS
- Process and file new hire and rehire forms. Ensure HR files and digital records meet retention standards and comply with applicable laws
- Serve as a point of contact for supervisors, new hires and existing employees regarding onboarding, records, and training requirements
- Assist with scheduling drug tests and background checks for new hires; track results and notify appropriate parties
- Maintain accurate and organized employee records in the HR database.
- Review employment documentation and distribute required employee information to county, state, and federal entities (ex. E-Verify, State Unemployment, Utah Retirement Systems)
- Perform basic data entry tasks and update employee information in HR systems
- Post jobs and maintain applications using online program
- May be asked to schedule appointments and interviews
- Assist with the communications with employees through email, text, and/or phone about upcoming City events and employee requirements
- Ensure and track that all employees have completed the required trainings set forth by the city, federal, state and insurance requirements
- Support onboarding processes for new employees, including setting up new hire files and ensuring required documentation is complete
- Responsible to keep employee directory up to date
- Must be able to work with little or no supervision
- Must be able to keep specific information confidential
- Must be able to adjust schedules for hiring and other city event
- Must be able to meet attendance and punctuality requirements for this position. Must abide by all city policies and procedures. Must work well with others and be a team player
- Perform other administrative tasks and HR support duties as assigned
POSITION QUALIFICATIONS
- Education and Experience: Graduation from High School or equivalent. At least one year of clerical or administrative support experience, preferably in human resources
NECESSARY KNOWLEDGE AND SKILL
- Proficient in Microsoft Office and Google Drive (Docs, Sheets, Forms and Presentations)
- Knowledge of employment laws
- Skilled in the use of computers and must be capable of learning new software
- Strong organizational, communication and time management skills
- Ability to establish working relationships with other employees
