Position Summary

The Human Resources Coordinator plays a vital role in supporting the day-to-day operations of the HR department at Birnam Wood Golf Club, a prestigious private country club committed to delivering an exceptional member and employee experience. Reporting to the Director of Human Resources, this position serves as a first point of contact for employee inquiries and provides broad administrative and operational support across all core HR functions including recruiting, onboarding, payroll coordination, benefits administration, compliance, and HRIS management.

This role requires a high degree of discretion, organizational skill, and working knowledge of California employment law. The ideal candidate thrives in a fast-paced, service-oriented environment and brings both warmth and professionalism to every employee interaction.

Key Responsibilities
Recruiting & Onboarding
  • Manage full-cycle recruiting for hourly and coordinator-level positions, including job postings, and offer letter generation.
  • Coordinate and facilitate new hire orientation, ensuring a welcoming and compliant onboarding experience.
  • Process new hire paperwork including I-9 verification, W-4, direct deposit, and California-required notices (Wage Theft Prevention Act notice, sexual harassment pamphlet, SDI brochure, etc.).
  • Maintain applicant tracking system (ATS) and ensure accurate candidate disposition records.
Payroll Administration Support
  • Assist with semi-monthly payroll processing, including timecard audits, and exception management for missed punches or schedule deviations.
  • Ensure compliance with California wage and hour laws including daily and weekly overtime, meal and rest break premiums, and minimum wage requirements.
  • Support payroll setup for new hires and terminations, including final pay compliance under California Labor Code Section 201–202.
  • Coordinate with department supervisors to ensure accurate submission of time records and resolve discrepancies in a timely manner.
Benefits & Leave Administration
  • Administer employee benefits programs including medical, dental, vision, life insurance, and voluntary benefits; process enrollments, changes, and terminations with carriers.
  • Serve as a resource for employee questions regarding benefits, open enrollment, and eligibility.
  • Coordinate administration of California-mandated leaves including FMLA, CFRA, PDL, and state disability (SDI/PFL), ensuring accurate tracking and timely notices.
  • Support 401(k) plan enrollment and coordinate employee communications with the plan administrator.
  • Track and administer California Paid Sick Leave, ensuring compliance with state and applicable local ordinances.
HR Compliance & Recordkeeping
  • Maintain accurate and confidential employee personnel files in accordance with California recordkeeping requirements.
  • Support compliance with federal and California employment laws including FEHA, WARN Act, FLSA, ADA, Title VII, PAGA, and CCPA.
  • Assist with preparation and posting of required labor law notices (federal, state, and local) and ensure the employee handbook reflects current California law.
  • Track training completion for mandatory California training requirements including AB 1825 / SB 1343 sexual harassment prevention training.
  • Assist with workers’ compensation claims administration, including filing of DWC-1 forms and coordination with the club’s insurance carrier.
  • Support annual EEO-1 reporting and other regulatory filings as directed.
Employee Relations & Engagement
  • Serve as a visible, approachable HR presence for employees at all levels; respond to inquiries regarding policies, procedures, pay, and benefits in a timely and professional manner.
  • Assist in the coordination of employee recognition programs, staff events, and engagement initiatives.
  • Support the performance management cycle by distributing performance review forms, tracking completion, and filing completed evaluations.
  • Document and elevate employee relations concerns to the Director of HR as appropriate.
HRIS & General Administration
  • Maintain HRIS data integrity including employee records, job changes, compensation updates, and terminations.
  • Generate HR reports and metrics including headcount, turnover, and open requisitions as requested.
  • Support the HR department in audit preparation and maintain organized, compliant records.
  • Perform general administrative duties including drafting correspondence, scheduling meetings, ordering office supplies, and maintaining department files.
Qualifications
Education & Experience
  • Associate’s or Bachelor’s degree in Human Resources, Business Administration, Hospitality Management, or a related field preferred; equivalent experience considered.
  • Minimum 2–3 years of HR coordinator or generalist experience, preferably in hospitality, private club, food & beverage, or a related service industry.
  • Demonstrated knowledge of California employment law and HR compliance requirements.
  • Experience with HRIS platforms and applicant tracking systems; Paycom experience a plus.
Knowledge, Skills & Abilities
  • Strong organizational skills with exceptional attention to detail and the ability to manage multiple priorities simultaneously.
  • High degree of professionalism, confidentiality, and sound judgment in sensitive situations.
  • Excellent written and verbal communication skills; ability to communicate effectively with employees at all levels.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Bilingual English/Spanish a plus.
  • PHR, or SHRM-CP certification preferred but not required.
Working Conditions

This is a full-time, on-site position. Occasional evening or weekend availability may be required to support new hire orientations, staff events, or peak operational periods. The work environment is primarily office-based, with regular interaction across all club departments including Food & Beverage, Golf Operations, Grounds, Tennis, Aquatics, and Administration. Occasional lifting of up to 20 lbs. (e.g., onboarding materials, HR files) may be required.
