RMS International is seeking a highly organized and detail-oriented Human Resources Coordinator to support the day-to-day operations of our Human Resources department.

The HR Coordinator will play an important role across the employee lifecycle, supporting recruiting, onboarding, HRIS administration, personnel records, benefits administration, performance review coordination, compliance documentation, and general HR operations. This position will work closely with the HR Manager, hiring managers, employees, and external HR partners to ensure HR processes are timely, accurate, organized, and provide a positive experience for candidates and employees.

Key Responsibilities
  • Coordinate the administrative aspects of the recruitment process from approved opening through hire.
  • Schedule interviews between candidates, hiring managers, and interview teams.
  • Manage recruiting calendars and interview logistics.
  • Communicate with candidates regarding interview schedules, next steps, and other routine recruiting matters.
  • Maintain accurate candidate records and status updates in the applicant tracking system.
  • Post and maintain approved job openings on recruiting platforms.
  • Prepare interview materials, candidate packets, and other recruiting documentation.
  • Coordinate background checks, reference checks, and other pre-employment requirements.
  • Track candidate activity and follow up on outstanding recruiting tasks.
  • Assist with career fairs, recruiting events, and other talent acquisition initiatives.
  • Support the HR Manager and hiring managers with recruiting projects and special assignments.
  • Coordinate new hire onboarding logistics and ensure required tasks are completed before and after an employee's start date.
  • Prepare and distribute new hire paperwork and onboarding materials.
  • Track completion of required employment documentation.
  • Coordinate with IT, hiring managers, and other departments to ensure new hires are prepared for their first day.
  • Schedule onboarding meetings, orientations, and other new hire activities.
  • Enter and maintain new hire information in the HRIS.
  • Maintain onboarding checklists and follow up on outstanding items.
  • Assist with maintaining and improving onboarding materials and resources.
  • Maintain accurate and timely employee information in the HRIS.
  • Process routine employee data changes and status updates.
  • Maintain electronic and physical personnel files in accordance with company procedures.
  • Ensure required employment documentation is properly maintained and filed.
  • Maintain organizational charts, employee lists, and other HR records.
  • Assist with document retention and recordkeeping processes.
  • Prepare routine employment verification responses.
  • Maintain confidentiality and security of employee information.
  • Identify missing or incomplete documentation and follow up as appropriate.

Benefits Administration

  • Assist employees with routine benefits enrollment and administrative questions.
  • Support new hire benefits enrollment and qualifying life event changes.
  • Coordinate benefits-related documentation and communications.
  • Assist with annual Open Enrollment activities.
  • Maintain accurate benefits-related records within the HRIS.
  • Coordinate routine administrative requests with Insperity and benefits providers.
  • Escalate complex benefits questions or issues as appropriate.

Performance Management & Annual Reviews

  • Maintain the annual performance review calendar and tracking system.
  • Monitor upcoming review deadlines and send reminders to managers and employees.
  • Prepare and distribute review materials and packets.
  • Track completion of performance evaluations and follow up on outstanding items.
  • Maintain completed performance documentation in employee records.
  • Prepare routine reports related to the performance review process.
  • Assist with the administrative coordination and documentation of coaching and development plans.

HR Compliance & Documentation

  • Maintain HR compliance files, records, and required documentation.
  • Assist with tracking required notices, acknowledgments, certifications, and other HR documentation.
  • Maintain accurate records related to employee lifecycle events.
  • Assist with preparation of routine HR correspondence and documentation.
  • Monitor administrative deadlines and elevate potential compliance concerns appropriately.
  • Support audits and compliance projects by gathering and organizing requested documentation.

HR Communications & General Administration

  • Monitor and manage the general HR inbox, responding to routine HR administrative questions and routing matters appropriately.
  • Serve as a first point of contact for routine HR administrative inquiries.
  • Draft routine HR correspondence, announcements, reminders, and communications using established templates and guidance.
  • Schedule HR meetings and maintain HR calendars.
  • Prepare meeting materials and take notes when appropriate.
  • Maintain HR trackers, spreadsheets, reports, and dashboards.
  • Assist with employee communications and HR initiatives.
  • Coordinate HR-related meetings, events, and activities.
  • Maintain organized digital and physical HR files and resources.
  • Provide general administrative support to the HR department.
  • Assist with special projects and other HR initiatives as assigned.
Qualifications
  • Bachelor's degree in Human Resources, Business Administration, or a related field preferred.
  • 1-3 years of experience in Human Resources, recruiting coordination, HR administration, or a related field preferred.
  • Strong organizational skills and exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities, deadlines, and competing requests.
  • Strong follow-up and time-management skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel.
  • Experience working with an HRIS or applicant tracking system preferred.
  • Experience with Insperity or a similar HR platform is a plus.
