Position Overview
- Organize meetings, travel plans, expense reports, and assist with various administrative duties.
- Manage multiple calendars, schedule meetings and appointments, and prioritize tasks to keep calendars up to date.
- Book and track travel arrangements per leaders' needs and preferences.
- Process invoices for payment and resolve payment issues.
- Answer multi‑line phone and shared email boxes, ensuring messages reach supported teams.
- Prepare general correspondence, presentations, agendas, meeting notes and reports; assist with document editing and formatting (e.g. PowerPoint, flyers).
- Pre‑register guests, book conference rooms, and arrange catering and AV requirements for major meetings.
- Correspond with leaders and their teams internally and with external stakeholders.
- Open, organize, distribute incoming mail and coordinate outgoing mail.
- Support event planning for department events including Town Halls, offsites, and other events; secure venues, coordinate with the Meetings & Events department, schedule vendors, assist with room set up, communicate with office about high‑touch visitors, and work with IT for AV support.
- Assist with special projects and additional functions as requested.
Qualifications
- Minimum of 2 years of relevant experience.
- Strong confidentiality skills.
- Proficient with Zoom and MS Office Suite (Outlook, Excel, Teams, PowerPoint, Word, SharePoint).
- Excellent communication and interpersonal skills.
- Ability to multi‑task and handle multiple responsibilities.
- Motivated to work in a team‑oriented, fast‑paced environment.
- Team‑player with positive attitude.
- Self‑motivated and highly organized with prioritization, clear communication and sense of urgency.
- Strong learning attitude and work ethic.
Location: Des Moines, Iowa. This is a full‑time in‑office role requiring presence at least 3 days per week.
