Job summary

Job Description

The Human Resources Assistant reports to the Director of Administration and Finance and is responsible for:

  • Coordinating Human Resources procedures from appointment through separation.
  • Assisting and supporting workforce budget, planning and recruitment efforts, including posting and tracking employment opportunities and position descriptions.
  • Providing backup support to the Payroll Accountant.
  • Assisting the Director with Human Resources, position control, payroll, and administrative functions.
  • Maintaining strict confidentiality of all employee and personnel information in accordance with district policies, collective bargaining agreements, and applicable laws.
  • Conducting human resources functions and ensuring compliance with federal, state, and local laws and regulations.

Illustrative examples of work performed include:

  • Maintaining confidential personnel records in HR information systems.
  • Providing payroll support and assistance.
  • Managing Position Control system and staffing records for budget development and workforce planning.
  • Recruiting, hiring, onboarding, and offboarding, including background checks and benefits enrollment.
  • Serving as a resource for employees regarding benefits, payroll inquiries, leave requests, and other personnel matters.
  • Preparing correspondence, reports, and employment documents; entering data into databases.
  • Communicating effectively with employees, administrators, school staff, and public agencies.
  • Developing and maintaining departmental procedures, forms, and documentation.
  • Assisting with payroll activity coordination per bargaining unit contracts and regulations.
Job Requirements
  • Education: High school diploma or GED; business coursework preferred. Bachelor’s degree preferred.
  • Experience: 10+ years in Rhode Island K‑12 public school business offices preferred, with experience in Human Resources / Position Control / Payroll, Accounts Payable / Receivable, grant reporting, and budget management.
  • Technical Skills: Proficiency in Microsoft Office, Google Suite, and K‑12 ERP/Payroll/HR software (e.g., Tyler ERP).
  • Communication Skills: Strong written and verbal communication, ability to collaborate with staff and the public.
  • Organizational Skills: Ability to prioritize caseloads, manage time efficiently, and meet deadlines.
  • Interpersonal Skills: Build positive relationships, maintain confidentiality, and handle confidential data with discretion.
  • Other: Valid driver’s license; able to travel between districts as needed.
