Description:

Title: HubSpot CRM Specialist

Reports to: Director, Business and Clinical Systems

Department/Location: Remote

FLSA Status: Exempt

Travel Requirement: Minimal

Summary:

Reporting to the Director of Business and Clinical Systems, this HubSpot CRM Specialist will oversee CRM administration, ensuring seamless integrations, data integrity, and efficient workflows. Key responsibilities include system monitoring, troubleshooting, reporting, and user training. This role will also support cross-functional teams with process improvements and data-driven insights. Strong HubSpot expertise, analytical skills, and project management experience is essential.

Responsibilities:

  • General Management:
    • Proactive restoration of any workflows, reports, or sequences that may (and oftentimes do) break.
    • Providing system administration support, especially related to user permissions, custom objects, and workflows.
    • Creating, managing, and optimizing complex workflow rules, validation rules, and approval processes.
    • Creating and managing custom objects, fields, formulas, record types, page layouts, reports, and dashboards.
    • Analyzing data to provide insights into the operation, effectiveness, and productivity of each team.
    • Working closely with other teams to capture and identify business requirements for CRM implementation.
    • Assisting with Integration efforts with other systems added to Guidelight infrastructure and supporting change management.
  • Support & Training:
    • Provide support and training to users across the organization, ensuring they are proficient in using the CRM system. Develop HubSpot knowledge base articles and videos for on demand training based on GL implementation.
    • Creation and maintenance of training for all HubSpot tools that are specific and relevant to the Guidelight account.
    • Assisting in identifying and resolving data anomalies and errors; maintaining a high level of data integrity.
    • Supporting the team in daily troubleshooting, bug fixing, and end-user support.
  • Documentation & Reporting:
    • Documentation & maintenance of any process changes due to changes in the HubSpot product offering.
    • Create and maintain dashboards and reports to provide insights into sales, marketing, customer service, finance, and operations performance.
  • Business, Process Analysis, & Improvement:
    • Gain deep understanding of GL processes. Be collaborative and align with stakeholders on best practices to optimize and implement as needed.
    • Stay up to date with the latest HubSpot features and best practices, continuously improving the CRM system to meet evolving business needs.

Required Qualifications:

  • Bachelor’s degree in business, Information Technology, or a related field.
  • Proficiency in data management and CRM best practices.
  • Excellent analytical, problem-solving skills and attention to detail.
  • Experience in using M365 tools.
  • Strong communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Proficient in Microsoft Excel, including the ability to manage and analyze data.
  • Strong attention to detail and commitment to data accuracy.
  • Completed HubSpot Certifications.
  • 3+ years of experience as a HubSpot Specialist or similar role.
  • Strong understanding of HubSpot CRM functionalities across all the HubSpot enterprise hubs.
  • Demonstrated Project Management skills and Effective Communication.
