Job summary

The Planet Group in Houston is seeking an HR Operations professional to drive centralized preboarding activities, coordinate screenings, and ensure compliance across the candidate journey.

Ideal candidates will have a Bachelor’s in a related field and 5+ years in HR operations or preboarding, with high-volume hiring experience and strong communication, organizational, and data accuracy skills.

Qualifications

  • Bachelor’s degree in HR, Business, or related field preferred or 5+ years in HR operations/preboarding/onboarding/compliance.
  • High-volume hiring experience with compressed timelines.
  • M&A integration experience strongly preferred.

Responsibilities

  • Serve as primary point of contact for candidates, welcoming them to Veolia and communicating next steps.
  • Coordinate and track pre-employment screening, including background checks, drug tests, and physicals.
  • Support scheduling of drug tests and physicals to ensure start-date readiness.
  • Monitor screening progress and follow up with candidates and vendors to meet SLAs.
  • Assist with I-9 compliance and ensure timely completion of required sections.
  • Escalate issues to Team Lead or HR Partner as appropriate.

Job description

  • Responsibilities as part of the Centralized Preboarding team include, but are not limited to:
  • Serve as a primary point of contact for candidates, welcoming them to Veolia and
  • communicating next steps throughout the preboarding process.
  • Conduct proactive candidate outreach and follow-ups to ensure timely completion of
  • pre-employment requirements.
  • Coordinate and track pre-employment screening requirements, including background
  • checks, drug tests, and physicals.
  • Support the scheduling and reschedule drug test and physical appointments to ensure
  • start-date readiness.
  • Proactively monitor screening progress and follow up with candidates and vendors to
  • Track and manage vendor status updates and preboarding queues to meet service-level
  • Support the I-9 compliance process by monitoring documentation, supporting corrections
  • and ensuring timely completion of Section 1 and Section 2 in accordance with federal
  • requirements.
  • Escalate background check alerts, compliance concerns, and exceptions to the Team
  • Lead/Supervisor or HR Partner as appropriate.
  • Liaise with Health & Safety, HRBPs, and external vendors to resolve candidate or
  • vendor-related issues.
  • Initiate rescind actions and update candidate records in Workday when applicable and in
  • accordance with policy.
  • Confirm managers complete required new hire information in Workday to trigger
  • downstream provisioning and onboarding activities.
  • Support documentation audits and data accuracy efforts related to preboarding and
  • compliance.
  • Participate in continuous improvement initiatives to enhance efficiency, accuracy, and the
  • Provide project-based support for merger, acquisition, or other large-scale hiring
  • initiatives as assigned.
EDUCATION / EXPERIENCE / BACKGROUND
  • Bachelor’s degree in Human Resources, Business, or a related field preferred or a
  • minimum of 5 years of progressive professional experience in HR operations,
  • preboarding, onboarding, or a compliance-focused role.
  • High-volume hiring experience required, including support of compressed hiring
  • timelines.
  • Merger and acquisition (M&A) integration experience strongly preferred.
KNOWLEDGE / SKILLS / ABILITIES
  • Strong organizational and follow-up skills with the ability to manage high transaction
  • volumes simultaneously.
  • Ability to thrive in a fast-paced, deadline-driven environment with competing priorities.
  • Excellent written and verbal communication skills with a customer-service mindset.
  • Ability to work independently and collaboratively across HR and business stakeholders.
  • High attention to detail with a strong focus on compliance and data accuracy.
  • Proficiency with Google Suite (Sheets, Docs, Slides).
  • Workday experience preferred, including preboarding, onboarding, and transaction
  • support.
  • Experience with employment screening services, E-Verify, health and safety portals, and
  • HR systems.
  • Internet-savvy with the ability to quickly learn new tools, systems, and processes.
