Job description

Position Title: Human Resource Payroll Specialist

Departments: Human Resources

Function: Human Resources

Grade: N05

Reports To: (Sr) Human Resources Manager

FLSA Status: Non-Exempt

Location: Distribution Center (not remote)

Shift: Varies (Weekday Morning and Night and Weekend Morning and Night)

The HR Payroll Specialist provides payroll system support to maintain accuracy within time keeping. This position requires partnership with Sephora Headquarters, external staffing partners, and operations leaders. Aside from Payroll responsibilities, you will also work alongside your local and DC HR teams, contributing to broader HR functions that drive a positive and compliant workplace. Associates may also turn to you as a trusted resource when sharing confidential information, and there is a strong expectation to handle these situations with professionalism, discretion, and confidentiality. At times, you may also help cascade HR initiatives, ensuring alignment across teams and reinforcing HR best practices.


Essential Functions of Job:

Time Management & Reporting:

  • Conduct thorough reviews of employee timesheets to identify discrepancies and ensure accurate processing and collaborate with leaders on inaccuracies, coaching as needed
  • Support and coordinate system upgrades within our timekeeping platform, Dayforce; leading change management efforts at the DCs
  • Manage the distribution and mailing of paper checks, oversee direct deposit set up and changes, and ensure timely and accurate employee compensation
  • Apply and file documentation notes for instances such as jury duty or bereavement to maintain organized compliant employee records
  • Provide guidance and training to leaders to effectively use the Dayforce system, enhancing their proficiency and supporting organizational changes to the system
  • Work closely with Sephora Headquarters at times to address escalated or complex payroll issues
  • Accurately maintain attendance and timekeeping reporting
  • Review and analyze payroll reporting as needed
  • Maintain current knowledge of compliance and pay-related laws, to ensure adherence to legal standards

Data & Report Management:

  • Extract data from various systems and create regularly scheduled and on-demand reports to support operations and HR team
  • Conduct periodic audits of HR files and records to ensure all required documents and collected, filed, and maintained
  • Process employee changes, such as internal movement, termination, and other status changes

General HR Support:

  • Manage programs such as employee discounts, tuition reimbursement, Dayforce Wallet, Perfect Attendance
  • Provide employee support as needed to frequently asked questions regarding policies, benefits, hiring processes, and payroll, escalating more complex inquiries as needed
  • Assist with internal communications, employee recognition programs, and incentive initiatives, fostering a positive workplace environment
  • Support conducting New Hire Orientation sessions as needed
  • Support processing payroll and assisting with daily timekeeping inquiries as needed

We would love to hear from you if have…

  • 2+ years of related Human Resources experience, preferably in a distribution center or manufacturing facility
  • Proficiency with Microsoft Office Suite
  • Experience with modern payroll software and HRIS preferred; Dayforce and SAP preferred but not required
  • Ability to act with integrity, professionalism, and confidentiality
  • Thorough knowledge of current employment-related laws and regulations
  • Excellent verbal and written communication skills
  • Excellent organizational skills and attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
  • Strong analytical, problem-solving, and decision-making skills
  • Ability to prioritize tasks and to work independently
  • Ability to raise issues proactively and in a timely manner
  • Successfully model teamwork and demonstrate a collaborative approach when working with staff, associates, and management
  • Must be flexible and adaptive to respond to a fast-paced environment proactively
  • Maintain a flexible work schedule and adhere to the requirement of working any designated shift and overtime as requested per business and operational needs
