The role oversees onboarding, payroll changes, time collection, promotions, and job postings for faculty and staff across multiple divisions.

The position combines HR guidance with administrative leadership, requiring collaboration with HRSS, and may include hybrid work after initial onboarding.

Qualifications

• Bachelor's degree from an accredited institution in business, business administration, social sciences, healthcare administration, or a directly related field.

Responsibilities

• Oversee faculty office and research lab space, ensuring proper allocation and usage.
• Coordinate updating Faculty Information Management System (FIMS) profiles and websites.
• Recommend changes to improve and streamline internal processes to save time and costs.
• Provide day-to-day administrative program support to the Division of GI, Trauma, Endocrine Surgery and Division of Surgical Oncology and affiliate institutions.
• Manage required resources, documents, personnel, and facilities for programs.
• Assist Admin IIIs with arranging candidate interviews (Skype and in-person).
• Work with faculty and administrative staff to gather information for HR transactions and coach on best course of action.
• Manage HR transactions, hiring requests, and position requests to the Surgery HR team.
• Assist with volunteer clinical faculty, adjoint, adjunct, and post-doctoral positions, liaising between Division and Surgery HR team.
• Develop and draft job descriptions and letters of offer for new faculty.
• Handle faculty and staff terminations and oversee onboarding for divisions.
• Maintain personnel records for faculty and staff.
