AVS Bio in Norwich, CT is seeking an HR Operations & Compliance Specialist to manage HRIS data integrity, compliance reporting, and process improvements. You will partner with Finance and IT to automate workflows and ensure accurate, auditable HR data.

The role is in-office at our Norwich, CT location and requires 1+ years in HR operations, data/reporting, and familiarity with ADP or similar HRIS. Strong Excel skills and discretion are essential.

Qualifications

  • 1+ years of experience in HR operations, HR data/reporting, or a related administrative field.
  • Strong attention to detail and accuracy in data entry and reporting.
  • Interest in building or improving processes; experience with automation tools like Excel macros or Power Automate is a plus.
  • Familiarity with HRIS platforms; ADP Workforce Now is a plus.

Responsibilities

  • Maintain accurate, up-to-date employee data in the HRIS (ADP), including hires, terminations, transfers, and status changes.
  • Perform data audits and recommend process changes to reduce errors.
  • Create, run, and distribute standard and ad hoc reports for HR, Finance, and leaders.
  • Maintain electronic employee files per recordkeeping and compliance standards.
  • Support compliance reporting (EEO-1, OSHA logs, ACA, I-9 audits) and audit readiness.
  • Document HR processes and identify opportunities to standardize or automate tasks.
  • Assist with onboarding/offboarding, payroll data entry, and contractor records.
  • Provide receptionist-like support for routine HR inquiries and manage Leave of Absence processes.

Job description

The HR Operations & Compliance Specialist supports the daily operations of the Human Resources Department, with a primary focus on accurate data entry, compliance reporting, and continuous improvement of HR processes. This role maintains data integrity within our HRIS, prepares and audits compliance-related reports, and helps design and automate standard operating processes that make the HR function more efficient. The HR Operations & Compliance Specialist is a resource to employees and managers and serves as a liaison with internal partners, including Finance and IT. This is an in-office position based in our Norwich, CT location.

Key Responsibilities
Data & Systems
  • Maintain accurate, up-to-date employee data in our HRIS (ADP), including new hires, terminations, transfers, and status changes.
  • Perform regular data audits to identify and correct discrepancies; recommend process changes to reduce recurring errors.
  • Create, run, and distribute standard and ad hoc reports to support HR, Finance, and business leaders.
  • Maintain electronic employee files in accordance with recordkeeping and compliance standards.
Compliance Reporting
  • Support preparation of compliance-related reports and filings (e.g., EEO-1, OSHA logs, ACA, I-9 audits, and similar federal/state requirements) under the guidance of the HR team.
  • Monitor for and help maintain compliance with federal, state, and local employment laws, regulations, and recommended best practices.
  • Track key compliance deadlines and maintain documentation to support audit readiness.
Process Improvement & Automation
  • Document existing HR processes and identify opportunities to standardize, streamline, or automate manual and repetitive tasks.
  • Partner with HR and IT to build or improve simple automations, templates, workflows, or reporting tools (e.g., using ADP, Excel, or other available systems).
  • Create and maintain process documentation, job aids, and checklists to ensure consistency across the HR team.
HR Operations Support
  • Assist with onboarding and offboarding activities, including I-9 management, new hire data entry, and facility access.
  • Support HR-related payroll data entry and validation for exempt and non-exempt employees.
  • Assist with recordkeeping for consultants and contractors, including onboarding, offboarding, and contract extensions.
  • Serve as a point of contact for routine employee questions, including monitoring the general HR email inbox and directing inquiries to the appropriate resource.
  • Manage the Leave of Absence process.
  • Support administration of the Learning Management System (LMS) and Performance Management tool, including data integrity, user management, and reporting.
  • Perform other HR-related duties as assigned.
Education Requirements
  • Associate's or Bachelor's degree in human resources, business, or a related field preferred; equivalent work experience will also be considered.
Experience and Skill Requirements
  • 1+ years of experience in HR operations, HR data/reporting, compliance, or a related administrative field.
  • Strong attention to detail and a high degree of accuracy in data entry and reporting.
  • Interest in and aptitude for building or improving processes; experience with automation tools, macros, or workflow builders a plus (e.g., Excel formulas/macros, Power Automate, or similar).
  • Familiarity with HRIS platforms; experience with ADP Workforce Now a plus.
  • Basic understanding of employment-related laws and compliance requirements, or eagerness to learn.
  • Strong organizational and time-management skills, with the ability to manage multiple deadlines.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with discretion and professionalism.
  • Proficient with Microsoft Office Suite (especially Excel); comfortable learning new systems. Preferred, experience with AI.

Compensation: $60,000-$70,000 annual salary
