HR & Onboarding Coordinator (Remote - ABA Experience Required)

Position Summary
We are seeking a highly organized and detail-oriented HR & Onboarding Coordinator with 2-4 years of HR experience in an ABA or behavioral health setting. This remote position is responsible for onboarding, payroll, compliance, training, and supporting employees throughout the employee lifecycle. The HR & Onboarding Coordinator will report directly to the Chief Operating Officer.
Responsibilities
Onboarding & Offboarding
- Manage full-cycle onboarding, including background checks, I-9 verification, and document collection
- Monitor and track candidate training completion
- Improve the onboarding experience and streamline processes
- Conduct exit interviews and manage offboarding procedures
- Support terminations and update employee records accordingly
Payroll & PTO
- Process accurate biweekly payroll
- Track PTO balances, requests, and accruals
Compliance & Training
- Track employee licenses (RBT, BCBA, CPR) and certification renewals
- Monitor onboarding training to ensure compliance with BACB, Medicaid, and state-specific requirements
- Maintain accurate and up-to-date employee files and documentation
- Ensure compliance with multi-state employment laws
Employee Relations & Support
- Address employee concerns and disputes in a professional and confidential manner
- Support performance-related conversations, disciplinary actions, and terminations
- Screen administrative candidates and participate in the hiring process
Policy & Performance Management
- Maintain and update the Employee Handbook and HR policies
- Coordinate and document performance review cycles
- Assist in the development of new HR procedures and process improvements
Metrics & Reporting
- Track and report HR and onboarding KPIs (time-to-hire, onboarding completion, payroll accuracy)
- Provide data insights and support leadership with operational decisions
ABA-Specific Requirements
- Prior HR experience in an ABA setting is required
- Familiarity with BACB guidelines, onboarding ABA providers, and Medicaid/state regulations
- Preferred experience with ABA platforms such as Central Reach, Catalyst, and Viventium
Qualifications
- 2-4 years of HR experience in ABA or a behavioral health environment
- Knowledge of HR compliance, onboarding best practices, and multi-state employment law
- Experience with payroll systems such as Viventium, Gusto, or ADP
- Excellent communication, time management, and organizational skills
- High attention to detail and ability to maintain confidentiality
- Proficiency with Google Workspace and remote tools
