hassle-free-home-services is seeking an HR and Office Administrator to own the operational backbone of our employee lifecycle and compliance work: onboarding, benefits administration, payroll deductions, state registrations, licensing, and insurance support.

Qualifications

  • 3+ years in HR administration, office management, bookkeeping, or a similar operations role.
  • Attention to detail is a core requirement.
  • Experience with QuickBooks (payroll and employee records) preferred
  • Familiarity with benefits administration platforms
  • Comfort navigating government agencies, tax registrations, and licensing requirements, or the resourcefulness to figure them out
  • Strong organizational systems: you track deadlines proactively, you don't wait to be reminded
  • Discretion with confidential employee and company information
  • Clear, professional written communication

Responsibilities

  • Employee Onboarding: Send onboarding paperwork and Workforce invites to new hires; create employee profiles in QuickBooks.
  • Collect and upload completed onboarding documents to employee folders; complete I-9 verification in QuickBooks.
  • Coordinate travel and hotel bookings for out-of-state new hires.
  • Register new hires with the appropriate state agencies.

About the Role

We're hiring an HR and Office Administrator to own the operational backbone of our employee lifecycle and compliance work: onboarding, benefits administration, payroll deductions, state registrations, licensing, and insurance support. This is a high-trust role where small mistakes have real consequences. The right person treats a missed deadline or a mistyped deduction as unacceptable and builds systems so nothing falls through the cracks.

What You'll Do

Employee Onboarding

  • Send onboarding paperwork and Workforce invites to new hires; create employee profiles in QuickBooks
  • Collect and upload completed onboarding documents to employee folders; complete I-9 verification in QuickBooks
  • Coordinate travel and hotel bookings for out-of-state new hires
  • Register new hires with the appropriate state agencies

Benefits & Payroll Support

  • Add new employees to Employee Navigator and manage enrollment changes
  • Facilitate annual open enrollment from start to finish
  • Update employee healthcare deductions in QuickBooks once coverage begins
  • Complete forms related to annual healthcare reporting and open enrollment
  • Process child support orders and workers' compensation requirements

Performance Reviews

  • Run the annual performance review cycle: prepare forms for Regional Managers, distribute to employees, track completion and compensation adjustments

Regulatory & Licensing

  • Manage registrations when we enter new markets, including state tax account setup
  • Research, apply for, and maintain required trade licenses across our markets
  • Track renewal deadlines and submit renewals on time, every time

Insurance

  • Support the annual insurance audit
  • Manage and provide insurance documentation as requested by hiring managers and customers

General Administration

  • Track employee Google reviews, vendor referrals, and associated payments
  • Take on additional administrative projects as assigned
What We're Looking For
  • 3+ years in HR administration, office management, bookkeeping, or a similar operations role
