Job description

POSITION SUMMARY : Smart Warehousing is seeking an HR Coordinator to join our HR department. This position is a tactical role supporting day-to-day HRIS administrative functions from end to end. The person in this role will be responsible for data integrity, system maintenance, process improvement, data entry, and more.

ESSENTIAL DUTIES AND RESPONSIBILITIES :

  1. Ensure accurate, complete, and timely employee data updates through data entry and task completion in HRIS systems.
  2. Assist with the coordination, optimization, and monitoring of multiple HR systems and workflows.
  3. Perform regular data entry, standardization, maintenance, and audits to ensure accuracy and compliance.
  4. Collaborate with HR team members, IT staff, and external vendors to optimize system functionality and resolve issues.
  5. Maintain and support various reports and queries using appropriate reporting tools.
  6. Analyze data flows to identify process improvement opportunities and recommend solutions to enhance efficiency.
  7. Coordinate with internal HR team members and other departments.
  8. Maintain HR records, including employee files and shared drives.
  9. Handle day-one administrative tasks for new hires, including data entry into HRIS, I-9 completion, and other onboarding tasks.
  10. Work closely with new hires to update their status and provide start details prior to their first day.
  11. Support HR processes and SOP maintenance as needed.
  12. Assist with administrative tasks related to employee terminations.
  13. Support timekeeping processes and updates to HRIS systems as needed.
  14. Participate in special projects related to HR systems or organizational initiatives.
  15. Assist with HR compliance activities as required.

THE PERSON :

  1. Bachelor's degree or equivalent combination of education and experience.
  2. At least 2 years of experience in Human Resources, Data Management, or Reporting preferred.
  3. Experience diagnosing system issues and troubleshooting systems preferred.
  4. Strong analytical, problem-solving, and solution-oriented skills.
  5. Experience with data analysis tools (e.g., Power BI, Tableau) preferred.
  6. Proficiency with Microsoft Office Suite, especially Excel.
  7. Experience working in fast-paced or high-volume environments.

PHYSICAL OR MENTAL DEMANDS :

Employees are regularly required to see, hear, talk, write, read, stand, walk, bend, and stay alert. Hands-on tasks such as typing, handling, or feeling are frequent, and reaching with hands and arms is common. Visits to warehouse locations may require lifting, pushing, or pulling up to 20 pounds. Occasional tasks include sitting, climbing, balancing, driving, stooping, kneeling, crouching, and crawling.
