Position Objective
The HR Coordinator plays a key role in supporting the HR department by coordinating various HR functions and ensuring compliance with labor laws, company policies, and project-specific requirements. The HR Coordinator manages employee records, assists with recruitment and onboarding, and provides clerical support for payroll, benefits administration, and project-specific activities while focusing on compliance in all aspects.
Essential Job Functions
- Develop and maintain documentation of company processes and procedures
- Assist with gathering data for audits and ensure compliance with audit requirements
- Schedule interviews and coordinate with hiring managers
- Coordinate and schedule all pre-employment background checks, pre-employment physical agility tests, and Motor Vehicle Record (MVR) checks for prospective hires
- Maintain the continuous MVR database for required positions
- Set up new employees in the HRIS system and ensure all necessary documentation is completed
- Ensure Paycor information is up to date and matches data in ComputerEase
- Complete I-9 forms and process E-Verify checks for new employees while periodically conducting I-9 audits to maintain compliance
- Ensure all employees complete mandatory Harassment Prevention training and maintain records of compliance
- Manage and process Family and Medical Leave Act (FMLA) paperwork
- Coordinate employee training classes with internal and external facilitators
- Manage company credit cards and process monthly credit card reconciliation, ensuring all expense reports have been turned in and approved on time
- Accurately track and report applicable Sales and Use Tax
- Keep the Gmail time off calendar up to date
- Track and manage certified payroll for subcontractors on all required projects
- Monitor and track OSHA 10 certifications for all project personnel
- Ensure compliance with drug testing requirements for subcontractors on all projects
Supporting Job Functions
- Serve as a backup for payroll processing, including Certified Payroll reports
- Provide backup support for the onboarding process
- Support the HR team in addressing employee relations issues and fostering a positive work environment
- Assist with other department initiatives as requested
Qualifications And Requirements
Basic Qualifications
- Highschool Diploma or GED
- 2+ years of experience in Human Resources roles, preferably in the construction industry
- Ability to work in an open office environment
- Proficiency in HR software and systems such as Paycor, BambooHR, and ComputerEase
- Advanced proficiency in Excel, Word, and the Gmail Suite
Knowledge, Skills, And Abilities
- Strong understanding of HR practices, federal, state, and local labor laws, and compliance regulations
- Familiar with prevailing wage, certified payroll, and workforce reporting
- Ability to handle sensitive information with discretion and maintain confidentiality
- High level of accuracy and attention to detail in all tasks
- Ability to adapt to changing priorities and work environments
- Effective interpersonal skills to interact with employees at all levels
- Maintains composure and professionalism in difficult situations and effectively resolves conflicts without escalating tension
- Demonstrates strong organizational skills and the ability to prioritize tasks on multiple projects simultaneously
- Demonstrates a strong initiative and can accomplish tasks with minimal managerial supervision
- Utilizes a professional and engaging demeanor with coworkers, external partners, and clients
- Shows excellent communication skills, both in writing and face-to-face, including using a phone in an open office
- Embraces technology and can use it in ways that improve the experience of Centric associates and clients
