The HR Coordinator will support day-to-day human resources operations, with primary responsibility for new-hire onboarding, benefits enrollment, and Form I-9 verification. This role ensures employees receive a welcoming and organized onboarding experience while maintaining accurate records and supporting compliance with company policies and applicable employment regulations.
Key Responsibilities
Onboarding
- Coordinate the full onboarding process from accepted offer through the employee's first weeks of employment.
- Prepare and distribute new-hire paperwork, policies, and orientation materials.
- Communicate with new hires regarding start dates, required documentation, benefits, and first-day expectations.
- Partner with hiring managers, IT, payroll, facilities, and other departments to ensure workspaces, equipment, system access, and training plans are ready.
- Conduct or support new-hire orientation sessions.
- Enter employee information into the HR information system and maintain complete, accurate personnel records.
- Track completion of required forms, acknowledgments, training, and onboarding activities.
- Identify opportunities to improve the onboarding process and employee experience.
Benefits Enrollment
- Guide employees through new-hire, qualifying-life-event, and annual open enrollment processes.
- Explain benefit plans, eligibility requirements, enrollment deadlines, and employee responsibilities.
- Process benefit elections, changes, and terminations accurately and within required timeframes.
- Coordinate with benefit carriers, brokers, payroll, and internal partners to resolve enrollment or deduction issues.
- Review benefit data and payroll deductions for accuracy.
- Maintain confidential benefit records and support required notices and communications.
- Respond promptly and professionally to employee benefits questions, escalating complex matters when appropriate.
Form I-9 Verification and Compliance
- Complete and review Form I-9 documentation within required federal timeframes.
- Examine acceptable identity and employment authorization documents for apparent authenticity and consistency.
- Monitor expiring work authorization documents and coordinate required reverifications.
- Use E-Verify when required by company policy or applicable law.
- Conduct routine audits of Form I-9 records and correct errors in accordance with established procedures.
- Maintain Form I-9 records separately and securely, following applicable retention requirements.
- Support internal and external compliance reviews while protecting sensitive employee information.
General HR Support
- Maintain accurate employee data in HR and benefits systems.
- Respond to employee questions regarding HR policies, procedures, benefits, and onboarding.
- Prepare reports, correspondence, and employee communications.
- Support payroll updates, employee status changes, and records administration.
- Assist with HR projects, employee events, audits, and other departmental priorities.
- Handle confidential information with discretion and sound judgment.
Qualifications
- Bachelor's degree in Human Resources, Business Administration, or a related field preferred.
- 1-3 years of HR, onboarding, benefits, payroll, or administrative experience preferred.
- Working knowledge of Form I-9 requirements, benefits enrollment, and general HR practices.
- Experience with HRIS, benefits administration, applicant tracking, or E-Verify systems required, ADP WorkforceNow preferred.
- Proficiency with Microsoft Office and Microsoft Teams.
- Strong attention to detail, organizational skills, and ability to manage multiple deadlines.
- Clear written and verbal communication skills.
- Strong customer-service orientation and ability to work effectively with employees at all levels.
- Ability to maintain confidentiality and handle sensitive information appropriately.

This is a 1 year contract position with full benefits provided. Compensation range for this position is $50,000-$60,000 annually.
