HR Coordinator / Recruiter

Position Overview

Our client, a growing property management firm in Madison, is seeking a motivated and results-driven HR Coordinator / Recruiter to support recruiting, onboarding, and general human resources functions.

This role is ideal for someone with solid recruiting experience who enjoys identifying great talent, building relationships with candidates and hiring managers, and creating a positive experience for new employees. In addition to managing the recruiting process, this individual will coordinate onboarding paperwork and lead new-hire orientation.

Key Responsibilities
Recruiting and Talent Acquisition
  • Manage full-cycle recruiting for property management, maintenance, administrative, accounting, and corporate positions.
  • Partner with hiring managers to understand staffing needs, position requirements, and ideal candidate profiles.
  • Create and post job advertisements across appropriate recruiting platforms.
  • Proactively source qualified candidates through job boards, professional networks, referrals, and direct outreach.
  • Review resumes, conduct phone screens, and coordinate interviews with hiring managers.
  • Maintain regular communication with candidates throughout the hiring process.
  • Conduct professional reference checks and assist with background checks and other pre-employment requirements.
  • Track open positions, candidate activity, and recruiting outcomes.
  • Build and maintain a pipeline of qualified candidates for frequently hired positions.
  • Represent the organization professionally at job fairs, networking events, and other recruiting activities as needed.
Onboarding and New-Hire Support
  • Prepare offer letters, onboarding documents, and new-hire paperwork.
  • Ensure all required employment forms and documentation are completed accurately and on time.
  • Coordinate pre-employment screenings and confirm that all hiring requirements are satisfied before start dates.
  • Lead new-hire orientation and provide employees with a welcoming, organized introduction to the company.
  • Coordinate with managers, payroll, IT, and other departments to ensure employees are prepared for their first day.
  • Enter and maintain accurate employee information within HR and payroll systems.
  • Follow up with new employees and managers to support a successful onboarding experience.
Human Resources Coordination
  • Maintain accurate and confidential employee records.
  • Assist employees with routine questions regarding policies, procedures, benefits, and payroll.
  • Support employee engagement, training, performance management, and retention initiatives.
  • Assist with updating job descriptions, HR forms, policies, and internal communications.
  • Help monitor compliance with applicable employment laws and company policies.
  • Provide administrative support for additional HR projects and initiatives as assigned.
  • Identify opportunities to improve recruiting, onboarding, and employee-related processes.
Qualifications
  • Previous recruiting or talent acquisition experience is required.
  • Experience managing multiple open positions and communicating with candidates throughout the hiring process.
  • Working knowledge of onboarding procedures and general HR practices.
  • Strong interpersonal skills and the ability to build relationships with candidates, employees, and managers.
  • Excellent verbal and written communication skills.
  • Highly organized, detail-oriented, and able to manage competing priorities.
  • Comfortable working independently, taking ownership, and following through on commitments.
  • Ability to handle confidential and sensitive information with professionalism.
  • Proficiency with Microsoft Office and experience using applicant tracking, HRIS, or payroll systems.
  • Previous experience in property management, real estate, skilled trades, or high-volume recruiting is helpful but not required.
  • Associate’s or bachelor’s degree in human resources, business, communications, or a related field is preferred but not required.
