Job summary

Open Arms Care in Knoxville, TN, is seeking an HR Coordinator to support Human Resources for the Knoxville and Greeneville operations, with travel between locations as needed. The role covers onboarding, HRIS, benefits, recruiting, and file maintenance.

You will act as the first point of contact for HR, assist in policy implementation, and support termination notifications while ensuring confidentiality and compliance. A minimum of 2 years HR experience is preferred.

Responsibilities

  • Coordinate interviews and maintain New Hire Pipeline.
  • Maintain HRIS records and generate reports.
  • Assist in HR policies and update policy manuals.
  • Coordinate onboarding/offboarding and access levels.
  • Communicate with injured employees and leave matters.
  • Serve as first point of contact for HR department.

Job description

Location: Knoxville & Greeneville Operations-This position provides Human Resources support to both the Knoxville and Greeneville operations and requires some travel between locations as needed.

The Human Resources Coordinator is responsible for providing assistance and follow-up on the day-to-day operations of the Human Resources Department, company policies, procedures, and documentation. Actively pursue and engage employees in all facets of Human Resources including, but not limited to: Worker’s Compensation, FMLA, Benefits, HRIS, Recruiting, and maintain employee files.

ESSENTIAL FUNCTIONS
  • Oversee the new hire and onboarding process including, but not limited to coordinating recruiting schedules, pre-employment processes, new hire process, and hiring compliance (I-9 and eVerify).
  • Organizing, scheduling, and tracking employee interviews with managers.
  • Maintain New Hire Pipeline on the server.
  • Prepare and maintain all employee files, appropriate records, and documentation.
  • Maintain Human Resource Information System records and compiles reports from database.
  • Assist in various Human Resources plan procedures; assists in the implementation of policies and procedures and maintain current policy manuals.
  • Maintain onboarding and off boarding for all employees within appropriate systems including but not limited to access levels.
  • Report HR metrics and accomplishments monthly.
  • Perform data entry and HRIS maintenance to ensure all approved personnel action requests are processed accurately and on a timely basis for payroll processing; maintains effective and accurate filing systems that provide a quick reference database of records.
  • Release information according to department and company policies and procedures. Audits files at specific intervals to identify and purge outdated or unnecessary items and ensures confidentiality of records.
  • Assist HR Manager in termination notifications (via FedEx, certified mail, etc.)
  • Coordinating follow-up with injured employees, and employees on leave.
  • First point of contact for the Human Resources Department.
  • Verification of Employment documentation upon request.
  • Assume other duties as assigned by Executive Director and/or Human Resources Director.
QUALIFICATIONS
Education & Experience:

Must have a minimum of 2+ years of related experience as a Human Resources Specialist or Coordinator, or the equivalent combination of education and work experience. The following skills and traits are required:

  • A high school diploma and two (2) years HR experience preferred, or equivalent of education and work experience.
  • Strong interpersonal communication, writing, and organizational skills.
  • Ability to handle confidential information with great sensitivity.
  • Ability to work with limited supervision and high motivation.
  • Service oriented.
  • Ability to work well under pressure, meeting multiple and sometimes conflicting deadlines.
  • Excellent presentation, verbal, written and interpersonal communication skills.
  • Effectively communicate and interact with employees, internal and external clients.
  • Knowledge of state and federal employment laws (Preferred).
  • Commitment to providing excellent customer service; ability to remain calm and courteous when handling difficult calls and requests.
  • Ability to maintain confidentiality regarding all documents and communications.
  • Ability to project a positive and professional image on behalf of the organization.
  • Proficient in Word, Power Point, and Excel.
  • ADP experience is a plus.
Physical Requirements:
  • Repetitive hand movement; tasks may include lifting and organizing employee file folders, turning, bending, squatting, etc.
  • Ability to sit or stand for long periods of time.
  • Ability to work independently, set priorities, handle multiple tasks with concentration and speed and accuracy to meet deadlines.
