Description

Southern Foodservice Management is seeking an organized and dependable HR Coordinator to support the day-to-day operations of the Human Resources department at our Fort Lee location.

The HR Coordinator keeps core HR processes organized, accurate, and on schedule. This position coordinates pre-employment and onboarding activities, maintains employee records and HRIS data, tracks training and required documentation, and provides administrative support for payroll, benefits, leave, workers’ compensation, employee relations, recruiting, and other HR functions.

The HR Coordinator is often an employee’s first point of contact with Human Resources and is expected to provide professional and responsive customer service, maintain confidentiality, and ensure questions and concerns are directed to the appropriate HR team member.

Responsibilities
Onboarding & Recruiting
  • Coordinate the process from accepted offer through pre-employment requirements, orientation, and Day 1 readiness.
  • Complete onboarding tasks in Paylocity and ensure required forms and acknowledgments are completed.
  • Complete and maintain Form I-9 and E-Verify requirements in accordance with established procedures.
  • Assist with background checks and other pre-employment requirements.
  • Prepare new-hire materials, orientation schedules, system access requests, badges, and manager notifications.
  • Track onboarding progress and follow up on incomplete requirements or delayed starts.
  • Assist with recruiting activities, including scheduling interviews, communicating with candidates, and updating candidate information in the HRIS or applicant tracking system.
HRIS & Employee Records
  • Process approved employee actions, including promotions, transfers, manager changes, position changes, compensation changes, and terminations.
  • Maintain accurate electronic and paper personnel files and required employment documentation.
  • Maintain confidential employee and medical-related records appropriately.
  • Conduct routine audits to identify missing or inaccurate information and coordinate corrections.
  • Prepare employee lists, headcount reports, status reports, and other HR reports and trackers.
  • Assist with employee timekeeping and review of timecards as needed.
Benefits, Leave & Compliance Support
  • Assist with benefits enrollment, changes, and terminations and route employee questions to the appropriate HR resource.
  • Provide administrative support for leave and workers’ compensation cases, including tracking documentation, key dates, restrictions, and return-to-work information.
  • Assist with unemployment claims by gathering separation notices, attendance records, corrective actions, and other requested documentation.
  • Maintain calendars and trackers for required postings, certifications, training, policy acknowledgments, audits, and other HR deadlines.
  • Assist with HR compliance activities and personnel-file audits.
Training & Employee Support
  • Schedule training sessions, maintain attendance and completion records, and follow up on overdue requirements.
  • Assist with training supervisory personnel on HR-related processes such as timecard approvals and employee action forms.
  • Provide professional assistance to employees and managers regarding routine HR questions and direct more complex matters to the HR Generalist or HR Manager.
  • Assist with employee relations documentation, investigations, and disciplinary processes at the direction of the HR Manager or HR Generalist.
  • Assist with performance review processes and other HR initiatives.
Administrative Support
  • Schedule meetings, interviews, orientations, and other HR activities.
  • Prepare correspondence, reports, forms, and other HR documents as requested.
  • Maintain HR calendars, files, trackers, and records.
  • Provide administrative support to the HR Manager, HR Generalist, Recruiter, and Corporate Human Resources team.
  • Maintain confidentiality and use discretion when handling employee information and sensitive matters.
  • Complete additional duties and HR projects as assigned.
Qualifications and Skills
Minimum Qualifications
  • Associate degree in Human Resources, Business Administration, or a related field, or an equivalent combination of education and relevant experience.
  • At least two years of administrative, HR, recruiting, payroll, or high-volume office support experience.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication and customer service skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Proficiency with Microsoft Office and the ability to learn HRIS, applicant tracking, timekeeping, and document management systems.
Preferred Qualifications
  • Bachelor's degree in Human Resources, Business Administration, or a related field.
  • Previous experience with onboarding, employee records, HRIS transactions, benefits, or training administration.
  • Experience supporting a high-volume hourly workforce or multiple operating locations.
  • Experience with Paylocity or a comparable HRIS.
  • SHRM-CP or other HR certification preferred.
