Position Summary

The HR Administrative Specialist provides day-to-day administrative and operational support for Fortuity’s Human Resources function. This position plays an important role in creating an organized, responsive, and positive employee experience from pre-employment through separation.

The HR Administrative Specialist is responsible for maintaining accurate employee records, coordinating onboarding and offboarding, supporting payroll and benefits administration, assisting with recruiting and compliance activities, and responding to routine employee questions.

This role is ideal for someone who is highly organized, detail-oriented, comfortable working with HR systems and confidential information, and able to manage multiple priorities in a fast-moving environment.

Employee Onboarding & Offboarding
  • Coordinate administrative onboarding for new employees, including new-hire paperwork, required forms, employment documentation, and system setup.
  • Communicate with new hires regarding onboarding requirements, schedules, documentation, and outstanding items.
  • Ensure new-hire information is accurately entered into Paycor and other applicable systems.
  • Coordinate completion of Form I-9 and E-Verify requirements, when applicable.
  • Track completion of required background screenings, employment eligibility requirements, acknowledgments, and other pre-employment requirements.
  • Prepare and maintain onboarding checklists and employee files.
  • Coordinate HR portions of new-hire orientation and help ensure employees have a smooth first-day experience.
  • Process employee separations and coordinate offboarding documentation, system updates, benefits notifications, and other administrative requirements.
HR Administration & Employee Records
  • Maintain accurate and complete electronic employee personnel files.
  • Process employee changes including compensation, position, department, supervisor, employment status, work location, and schedule changes.
  • Prepare routine HR documents, employment verification information, employee letters, and other correspondence.
  • Monitor HR inboxes and respond to routine employee questions or route issues to the appropriate HR team member.
  • Maintain HR trackers, spreadsheets, reports, and recurring administrative processes.
  • Conduct regular audits of employee records and HR systems to identify missing or inaccurate information.
  • Maintain appropriate confidentiality of employee and company information.
Payroll Administration
  • Support Fortuity’s in-house payroll process by reviewing employee data and payroll-related changes for accuracy.
  • Assist with collection and review of timekeeping information, missed punches, corrections, and other payroll inputs.
  • Process approved payroll changes, deductions, reimbursements, bonuses, and other employee transactions as directed.
  • Assist employees with routine payroll and timekeeping questions.
  • Help identify discrepancies before payroll is finalized.
  • Maintain payroll documentation and supporting records.
  • Assist with payroll reporting and reconciliation activities.
Benefits Administration
  • Support employee enrollment and changes for medical, dental, vision, and other applicable benefit programs.
  • Assist employees with routine benefits questions and direct more complex questions to the appropriate resource.
  • Process qualifying life event documentation and employee benefit changes.
  • Monitor eligibility dates and enrollment deadlines.
  • Coordinate employee information between Paycor, benefit providers, brokers, and other vendors as necessary.
  • Assist with benefits audits and reconciliation of employee enrollment information.
Recruiting & Pre-Employment Support
  • Provide administrative support for high-volume recruiting and hiring initiatives.
  • Assist with candidate communications, interview scheduling, offer documentation, and pre-employment requirements.
  • Track candidates through the pre-employment and onboarding process.
  • Coordinate background checks, drug screens, credit checks, or other screenings when required for a position or client assignment.
  • Maintain accurate candidate and hiring records.
  • Support rapid hiring initiatives when Fortuity launches or expands client programs.
Employee Relations & Employee Experience
  • Serve as an approachable first point of contact for routine HR questions.
  • Help employees understand company policies, procedures, benefits, payroll processes, and available resources.
  • Escalate employee relations concerns, complaints, performance issues, accommodation requests, or other sensitive matters to HR leadership.
  • Support employee communications, recognition activities, engagement initiatives, and company events.
  • Assist HR leadership with documentation and follow-up related to employee relations matters.
  • Support administrative onboarding activities designed to help new employees successfully transition into Fortuity.
Compliance & Reporting
  • Assist with maintaining compliance with federal, state, local, and contractual employment requirements.
  • Maintain required employment documentation and assist with periodic HR audits.
  • Track required employee certifications, acknowledgments, screenings, and compliance documentation.
  • Assist with reporting related to headcount, turnover, attendance, hiring, payroll, benefits, and other workforce metrics.
  • Support documentation requirements associated with Fortuity’s government contracts and client-specific workforce requirements.
  • Assist with unemployment claims, employment verifications, and other routine employment-related requests.
  • Maintain records according to applicable retention requirements and Fortuity policies.
Qualifications
Required
  • 2+ years of administrative, Human Resources, payroll, recruiting, or related professional experience.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to manage multiple deadlines and priorities simultaneously.
  • Strong written and verbal communication skills.
  • Ability to handle confidential and sensitive information with discretion.
  • Strong working knowledge of Microsoft Office, including Outlook, Word, Excel, and Teams.
  • Comfortable learning and working within HRIS, payroll, benefits, and applicant-tracking systems.
  • Ability to work independently while recognizing when an issue should be escalated.
Preferred
  • Previous HR experience in a contact center, staffing, high-volume hiring, or other hourly workforce environment.
  • Experience using Paycor, UKG or a similar HRIS/payroll platform.
  • Experience supporting payroll processing.
  • Experience with employee benefits administration.
  • Familiarity with I-9, E-Verify, background screening, and general employment compliance requirements.
  • Experience supporting government-contract or client-specific onboarding requirements.
  • Associate’s or bachelor’s degree in Human Resources, Business Administration, or a related field; relevant experience may substitute for formal education.

Role Within the HR Team

The HR Administrative Specialist is primarily an execution and coordination role. The position handles routine HR transactions and administrative processes so HR leadership can focus on employee relations, organizational development, workforce strategy, complex compliance matters, and management support.

The position is expected to identify issues and elevate them appropriately rather than independently making decisions regarding employee discipline, termination, legal compliance interpretations, compensation strategy, or other significant employment matters.

  • Ability to perform computer-based administrative work for extended periods.
  • Ability to communicate effectively with employees in person, by phone, email, and Microsoft Teams.
  • Regular and reliable attendance is an essential function of the position.
