We're seeking a tech-savvy, highly organized HR Administrative Assistant to support our HR operations and play a key role in creating a positive employee experience. This role combines recruitment coordination, HR support, workflow optimization, and team engagement efforts.

Position Overview:

The HR Administrative Assistant will provide critical administrative and operational support to the HR department. The ideal candidate is a self-starter with a sharp eye for detail, strong communication skills, and the ability to manage multiple systems and priorities cross-functionally. Experience working with applicant tracking systems and external recruiting partners is essential.

Responsibilities:
  1. Recruiting Support:
    • Coordinate with external recruiting agencies to ensure timely communication and follow-up on open roles.
    • Manage job postings and candidate pipelines using Workable ATS under the direction of the HR Manager.
    • Schedule and confirm interviews, send candidate communications, and maintain accurate recruitment records.
    • Assist with screening resumes and conducting initial candidate outreach when needed.
  2. HR & Administrative Support:
    • Assist with onboarding and offboarding logistics, including document collection, systems setup, and internal coordination.
    • Maintain and update employee records and ensure HR data accuracy.
    • Respond to employee inquiries and assist with basic HR processes and documentation.
    • Set up and manage internal HR meetings, maintain shared calendars, and track action items.
  3. Team Engagement & Events:
    • Plan and coordinate monthly team-building events and office socials to foster employee morale and engagement.
    • Collaborate with leadership to support internal culture initiatives.
  4. Workflow & Technology:
    • Identify and implement process improvements across HR operations.
    • Navigate and manage multiple software tools across departments (HRIS, ATS, communication platforms, etc.).
    • Support integration of new systems and tools as needed.
Key Qualifications:
  1. 1–3 years of experience in administrative support or human resources, ideally in a legal, corporate, or professional services setting.
  2. Strong proficiency with Workable ATS or similar platforms.
  3. Comfortable working across multiple software systems and digital tools.
  4. Exceptional attention to detail with excellent organizational skills.
  5. Self-starter with the ability to prioritize, multitask, and meet deadlines independently.
  6. Strong written and verbal communication skills.
  7. Professionalism and discretion when handling confidential information.
  8. Proficiency in Microsoft Office Suite (Word, Excel, Outlook); Google Workspace a plus.
Preferred Qualifications:
  1. Associate’s or Bachelor’s degree in Human Resources, Business Administration, or a related field.
  2. Experience planning internal events or coordinating employee engagement programs.
  3. Familiarity with basic HR principles and employment best practices.
